The Regional Operations Support oversees the daily administrative operations of regional branches, playing a pivotal role in ensuring the region's success. As a key point of contact for everyone within the region or organization, this position provides critical support to regional leadership and team members by facilitating smooth operations, ensuring company standards are followed for documents, reports, maintaining files, and upholding company values. Focused on fostering a high-performance culture, the role emphasizes efficiency, teamwork, and safety while maintaining an organized, supportive, and inclusive work environment.

Duties & Responsibilities:

  • Participate as a member of the Safety Committee by attending monthly meetings and ensuring compliance with all safety standards.
  • Provide exceptional customer service to internal and external stakeholders.
  • Manage administrative support for office functions, including phone calls, visitor management, and meetings.
  • Maintain an organized, clean, secure, and presentable office environment.
  • Manage office supply inventory and coordinate orders.
  • Maintain regional files and records in compliance with company standards.
  • Requesting and coordinating all travel for employees.
  • Providing backup support for warehouse personnel by accepting deliveries and communicating receipt to the appropriate parties.
  • Assisting in creating RMAs with vendors and coordinating returns through the Logistics Coordinator.
  • Assist regional leadership in identifying improvement areas and implement best practices to enhance accuracy and efficiency.
  • Generate and review reports, providing accurate project updates to regional management.
  • Coordinate and oversee scheduling of field technicians and project labor to meet operational demands.
  • Complete key tasks to support regional manager, project managers, and employees, including:
  • Creating Purchase Orders for all material orders.
  • Assisting in creating and processing Job Setup Forms and providing documentation for new project setups.
  • Processing project internal Change Orders.
  • Monitoring daily entries and troubleshooting issues for all employee timecards for field technicians and contract labor. Ensuring accuracy in approvals to maintain operational efficiency.
  • Handling activities related to vendor and customer invoices, including processing, researching and resolving issues.
  • Supporting project managers with procurement and logistics, including obtaining vendor quotes and escalating challenges with proposed solutions to maintain project health.
  • Solving operational issues as they arise.
  • Maintain regional branch documents, invoicing, and customer receivables.
  • Complete tasks related to timesheets, purchase orders, vendor invoices, and job setup processes to ensure accuracy.
  • Plan and execute office gatherings, celebrations, and team-building activities.
  • Provide training, coaching, and motivation to team members as needed.
  • Coordinate hiring processes, including recruiting support, onboarding, and training for new hires (direct and contract employees).
  • Partner with HR Team for offboarding processes and other personnel needs.
  • Support project managers with procurement, logistics, and vendor management.
  • Coordinate RMA processes and assist with returns through the Logistics Coordinator.
  • Provide backup support for warehouse personnel, including delivery acceptance.
  • Manage warehouse inventory and ensure proper documentation is maintained.
  • Oversee all E2 regional assets. Keeping up to date tracking and within compliance.
  • E2 Vehicle Fleet. Overseeing state requirements up to date.
  • Assisting and coordinating leasing vehicle.
  • Coordinate maintenance for fleet as required.
  • Regional equipment E2 assets and leased equipment.
  • Tracking Assets; maintaining all records
  • Coordinating all Equipment Rentals.
  • Address issues proactively and escalate when necessary, proposing solutions to ensure project health.
  • Liaise between departments to communicate project status and confirm installation dates with customers.
  • Travel: This position is generally expected to require minimal overnight travel (5%). The individual in this role should be able and willing to travel as required by E2.

Education:
  • High School Diploma or GED required
Experience:
  • Minimum 3 years general office management and support experience.
Knowledge, Skills, & Abilities:
  • Strong leadership, communication, influencing and collaborative skills.
  • Exceptional problem solving, decision making and conflict resolution skills.
  • Tactful, professional demeanor with ability to interact effectively with managers, employees, internal and external parties.
  • Strong attention to detail with organizational, record-keeping, time management and follow-up skills.
  • Must be a self-starter to take action when issues, gaps or opportunities are identified.
  • Ability to prioritize and manage multiple tasks with changing priorities as necessary.
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude.
  • Effective oral and written communication skills as required for the role.
  • Ability to be self-motivated, proactive and an effective team player with excellent work ethics.

  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.).

WORK ENVIRONMENT & PHYSICAL DEMANDS: The standard work environment for this position is an indoors business office and construction environment. Ability to use a computer and/or hand tools while sitting or standing for extended periods of time. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is regularly required to sit, talk or hear, use hands, stoop, kneel, bend, rotate, push, pull, reach with hands and arms on intermittent to regular basis daily. The employee is frequently required to stand and walk. The employee must regularly lift and/or move up to 50 pounds and frequently lift and/or move up to 25 pounds. The employee must regularly carry and climb ladders to 20 feet. The employee may be required to work in tight, confided spaces. The employee must demonstrate regular and on-time attendance. There could be a requirement of occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
