Overview

The Legal Support Associate I (or II) is responsible for providing contract management, vendor management, and legal and administrative support to the Law Department while maintaining the highest degree of integrity, service quality, and confidentiality. Serves as a secondary point of contact for all contract review and vendor management issues and requests.



Responsibilities

    Assists with the contract review process, which includes working with contract owners to ensure contracts meet LFCU requirements and working with in-house counsel to obtain contract approval.
  • Performs as a subject matter expert for the contract/vendor management system and the legal matter and billing system.
  • Audits billing transmissions from LegalTracker to Accounts Payable to ensure timely payment.
  • Assists with gathering due diligence for engagements with outside counsel.
  • Works with internal departments to obtain necessary reviews, approval, and documentation for vendor relationships (e.g., financial analysis from Finance; SOC2 reviews from Information Security; architecture reviews from Networking, etc.)
  • Builds relationships with vendors to familiarize them with LFCU's business processes and systems (e.g., assist vendors who need to submit documentation or answer risk assessment questionnaires in Nvendor; assist outside law firms who need to update matters or submit bills in LegalTracker, etc.)
  • Provides administrative support to in-house counsel (e.g., preparing basic legal documents, scanning legal files, managing correspondence, maintaining litigation calendars, etc.)
  • Manages multiple high-priority assignments simultaneously and performs in a fast-paced, dynamic environment to ensure that schedule, scope of work, quality, deadlines and other organizational needs are met.
  • Work within their team and have a direct impact on their tasks.


Qualifications

Education

  • Min/Preferred Education: Preferred
  • Level: 4 Year / Bachelors Degree
  • Description: Business, Law, Management, or a related field preferred.

Experience

  • Minimum Years of Experience: 0
  • Preferred Years of Experience: 2
  • Comments: 0-2 years of experience working in financial institutions or experience as a contract administrator, vendor management specialist, or legal assistant is preferred

Knowledge, Skills & Ability

  • Ability to handle sensitive legal matters with the highest degree of integrity and confidentiality.
  • Strong verbal and written communication skills, including expert spelling and grammar skills.
  • Strong technology skills, able to function as the subject matter expert for various systems without requiring the frequent support or intervention of technology professionals.
  • Ability to conduct effective research and analysis (using a variety of methods, including interviews) and distill that information and into effective reports or documentation.
  • Experience with or knowledge of regulatory requirements relating to vendor management in federal credit unions.
  • Be deadline-oriented and self-motivated.
  • The ability to work as part of a team and/or independently .
  • Project management skills and the ability to manage several projects simultaneously .
  • Expert-level knowledge of a variety of tools, such as Microsoft Word, Outlook, Windows file structures, and other software as needed.
  • Ability to quickly learn new applications, systems, processes, and information.
  • Must be flexible, able to work on multiple projects that may require restructuring due to shifting demands, unforeseen events and changing priorities.
  • Ability to interpret, synthesize, and explain rules, regulations, policies, and procedures to different audiences and make clear verbal and written presentations of facts or concepts.
  • Ability to exercise independent judgment while working under limited supervision.
  • Learn and discover existing tools and processes to apply them along with their academic knowledge to achieve simple tasks.
