POSITION SUMMARY:
The Human Resources Generalist, part of the HR Operations team, plays a key role in supporting managers and associates by providing guidance and expertise across various HR functions. This role actively contributes to the execution of HR initiatives that promote employee engagement and retention, while advising leaders on best practices in areas such as employee relations, performance management, HR administration, compliance, and reporting. The HR Generalist offers consultative support to leadership and associates, working closely with HR Business Partners (HRBPs) to ensure that HR initiatives are aligned with business needs and operationally executed. By fostering a positive work environment and ensuring alignment with organizational goals, the HR Generalist helps create a thriving workplace culture that supports both individual and company-wide success.
ESSENTIAL FUNCTIONS AND BASIC DUTIES: HR Administration and Compliance - 50%
- Responds to employee questions regarding benefits, leaves of absence, policies, timekeeping, etc.
- Maintains HCMS data/workflows including job and worker change requests in Workday.
- Reviews and approves one-time payment requests in Workday.
- Collaborates with divisional leaders in creating new roles and job descriptions. Facilitates updates to job descriptions as required.
- Ensures physical and electronic records are timely and accurately maintained with all employment, performance, and related materials; conducts periodic file audits and reports results/corrects deficiencies.
- Maintains cloud-based document filing platform (Docufree).
- Coordinates relative referral approval requests.
- Reviews and approves sabbatical requests and associated service anniversary expense reimbursement.
- Facilitates tuition reimbursement program, to include eligibility, approvals, and reimbursement requests.
- Creates and sends new hire and promotion announcements.
- Assists with separation processes including preparing separation documents and managing physical logistics.
- Partners with Benefits for LOA administration and assists with accounting for accurate commission payment timing, etc.
- Produces and maintains confidential materials for recurring projects (organizational charts, Talent Review packets, etc.)
Employee Relations and Performance Management - 40%
- Monitors annual performance management process including on-time completion of 360's and performance evaluations.
- Supports HRBP's with employee inquiries and grievances.
- Provides mediation support for resolving employee conflicts and ensures a fair and unbiased process.
- Administers company recognition program, monitoring budgets, points allocations, new badges and redemptions.
- Facilitates informal conflict resolution when needed to maintain positive working relationships.
- Monitors HR anonymous in-box reports.
- Conducts exit interviews and provides feedback to leaders as needed; identifies and reports on trends.
- Tracks policy changes and policy requests.
- Schedules and conducts HR check-ins with new associates at established intervals.
- Facilitates HR presentation during scheduled new hire orientations.
Reporting - 10%
- Supports initiatives to improve employee engagement and morale through feedback, surveys, and action plans.
- Assists in the planning and execution of employee recognition programs and events.
- Develops and analyzes data related to performance and succession planning. Prepares presentations and reports for HR calibrations with leadership.
- Supports leadership and HR calibration sessions by providing performance and potential data, highlighting talent gaps, and assisting in the identification of high-potential candidates for future leadership roles.
- Assists with the preparation of ad-hoc reports for various HR metrics and audit transactions.
- Tracks and reports on all phases of the talent management cycle, including recruitment, onboarding, performance management and development.
- Prepares performance management reports and documentation, ensuring all records are current in the HR system.
- Assists with gathering data for leadership and HR calibrations by preparing and organizing materials for HRBP's to analyze and present findings.
- Assists with the preparation of ad-hoc reports related to talent management activities, including performance evaluations, employee development, and talent pipeline reports. Prepares follow-up communications to leadership as required.
SECONDARY FUNCTIONS (IF APPLICABLE)
- Serves as back-up to HRBP's and HR Manager as needed. Assists with miscellaneous employee recognition and engagement initiatives.
- Participates in annual HR Scorecard initiatives.
- Develops and maintains Standard Operating Procedures ("SOPs") for basic departmental functions.
- Leads New Hire Welcome meetings.
SUPERVISORY/BUDGETARY/EXTERNAL COMMUNICATION RESPONSIBILITY
- Communicates with external vendors, service providers, and regulatory agencies.
QUALIFICATIONS - EDUCATION, WORK EXPERIENCE, CERTIFICATIONS
- Bachelor's degree required.
- 3+ years of progressive HR experience required; previous experience managing direct reports preferred.
- PHR and/or SHRM-CP certification preferred.
- Previous experience in a sales and/or recruiting environment preferred.
- Experience working a fast-paced working environment, matrix organization, or other complex situation preferred.
- Experience supporting a remote and/or hybrid workforce preferred.
- Experience supporting employees in California a plus
