About the Job

The Associate Director for Enterprise Application Services has administrative authority (supervision and management) and provides leadership and strategic direction for the business areas of Catalog & Curriculum Management, Non-credit Registration, and Data Quality & Reporting. This position serves on the OTR leadership team and is a liaison to the academic community (undergraduate, graduate, and professional education), system campuses, and non-credit community. The Associate Director is responsible for accurately
and professionally representing OTR and Academic Support Resources; providing strategic leadership; and building and maintaining relationships across all partner units, system campuses, and product vendors. This position has management responsibilities covering a broad scope of records functions, which have system-wide impacts to student degree progress. They annually set goals and priorities and address business problems to ensure best practices meet the needs of key constituency groups and are in compliance with federal, state, and institutional regulations. This position may exercise authority of the Deputy Registrar in their absence at all levels. Academic Support Resources supports hybrid and flexible working arrangements. This position will be hybrid and onsite presence once a week at most.

Essential Job Functions
Leadership and Management: (40%)

  • Oversee and support the needs of the business areas in the unit: Catalog & Curriculum Management, Non-Credit Registration, and Data Quality & Reporting.
  • Responsible for the direct supervision of 4-5 professional staff (IT managers and individual contributors) including hiring, onboarding, training, performance management/evaluations, coaching; and making promotion, award, termination, and disciplinary actions.
  • Provide leadership and direction to professional staff including managers and team leads.
  • Ensure adequate coverage in daily operations and establish/adjust work priorities, assignments, and deadlines for staff.
    • Determine and align staff work, distribution of work, and goals with overall OTR and ASR strategies and goals.
    • Establish unit priorities and strategy.
    • Evaluate unit efficiency and effectiveness.
  • Serve as an escalation path for complex issues requiring professional judgement and individual discretion.
  • Serve as a member of the OTR leadership team.
    • Help set OTR objectives, determine strategies, and develop procedures to support student success.
    • Support University and OTR strategic goals and objectives.

Enterprise Application Management (30%)

  • In collaboration with the Deputy Registrar and Assistant Directors on the enterprise application services
    team, manage and support the strategic direction for Coursedog, CollegeSource, and Modern Campus.
    • Develop and implement roadmaps aligned with OTR business strategies.
    • Oversee the ongoing lifecycle (implementation, maintenance, upgrades, etc.) of OTR applications.
    • Actively engage with industry best practices in higher education to develop strategies for products and business objectives.
  • Establish and maintain standards for unit activities, including process documentation, business
    requirements, process mapping, testing, customer service and support.
  • Continually analyze business processes to improve efficiency and quality; implement new processes as needed.
  • Monitor student educational policy updates and changes in order to anticipate and implement business process changes.
  • Lead large scale projects that strategically enhance OTR, Academic Support Resources, and University goals.
  • Develop and maintain effective working relationships with systemwide administrators, department and collegiate leaders, partner units, and vendors.

Compliance, Data Quality, and Reporting (30%)

  • Advise staff and faculty on policy and policy interpretation as it relates to credit usage and transfer, degree progress and completion, and FERPA.
  • Serve as a policy contact for select University student educational policies.
    • Responsible for bringing policies through the comprehensive review process and managing ongoing maintenance of policy for which they are a contact.
  • Represent ASR and the Office of Undergraduate Education on campus and systemwide committees.
  • Work in collaboration with the Deputy Registrar to review and approve data integration requests (Common Data Layer (CDL) and API) from a student records data perspective. Page 2
  • Oversight & management of individual contributors responsible for quality assurance queries and ad hoc data requests.
    • Identify opportunities to improve data quality and monitor quality assurance.
    • Collaborate and maintain relationships with other ASR teams (e.g., Student Data Analytics) that also fulfill data requests; continue to seek out process improvements and efficiencies for managing data requests.

Qualifications

Required

  • BA/BS plus at least eight years of relevant professional experience, or master's degree plus at least six years of relevant professional experience.
  • Prior experience supervising, coaching, and developing professional staff.

Preferred Qualifications (Core Competencies)

  • Experience developing technical project work plans.
  • Prior experience working with student records and interpreting policies.
  • Strong project management skills.
  • Strong conceptual, analytical, technical and problem solving skills.
  • Prior experience working in higher education or a complex, matrixed organization.
  • Ability to effectively communicate technology concepts with technically proficient and non-technically proficient individuals.
  • Ability to understand and analyze data.

Pay and Benefits

Pay Range: $127,000 - $133,500 annually; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
