Accounts Payable Manager

JOB SUMMARY
We are seeking a highly organized and detail-oriented Accounts Payable Manager to oversee and manage all accounts payable functions. The ideal candidate will be responsible for ensuring accurate and timely processing of vendor payments, managing vendor relationships, and ensuring smooth integration between accounting software and our CRM. This role will also involve maintaining vendor accounts, reviewing financial transactions, and assisting in the month-end close process. This role is manager by title only, you will not have any direct reports. The Accounts Payable Manager will report directly to the Controller and work closely with the Accounts Receivable Manager.

KEY RESPONSIBILITIES
1. Vendor Bill Management

* Record and verify vendor bills in the accounting system, ensuring details are accurate and complete
* Link each invoice to the corresponding vendor expense module in the CRM

2. Vendor Payment Processing

* Process daily, weekly, and monthly vendor payments
* Review accounts payable reports regularly to identify outstanding and upcoming payments
* Issue checks for vendor payments on Fridays, focusing on vendors requiring check payment
* Process refund requests for customers in both the CRM and accounting software

3. General Ledger (GL) Analysis

* Examine and analyze subscription expenses within the General Ledgers of the profit and loss report
* Contact subscription providers to cancel unnecessary subscriptions

4. Transaction Matching and Reporting

* Create and maintain rules for banking transactions to minimize matching errors
* Supervise the finance manager in accurately recording gas receipts through GPS tracking
* Match daily bank transactions in the accounting system
* Use VLOOKUP in Excel with reports from accounting software and the CRM to identify and resolve discrepancies

5. Labor & Subcontractor Bill Management

* Record labor bills weekly in the accounting system
* Record subcontractor bills and link to corresponding URLs in the CRM
* Process subcontractor payments in both systems, then assist Controller with wire transfers

6. Refund and Payment Handling

* Issue checks for employee refunds every Friday
* Review check requests in the CRM and process any new customer refund requests

7. Special Projects and Backup Responsibilities

* Assist the Controller with special projects, including cleaning up accounts
* Serve as backup for the Controller and Finance Manager during their absence

8. Vendor Relations & Communication

* Maintain communication with vendors to verify billing accuracy and resolve any related issues
* Obtain vendor quotes for office and company needs

9. Utility and Legal Billing

* Process and pay utility bills for the office and warehouse
* Update legal bills by contract to ensure client information is up to date

10. Bank Account Reconciliation

* Perform regular reconciliation of all bank and credit card accounts

11. Additional Duties

* Ensure all payable-related tasks in the CRM are completed accurately and on time
* Ensure all vendor payments are recorded in the accounting system by the end of each day to facilitate accurate transaction matching with the bank ledger

QUALIFICATIONS
* Bachelor's degree in Accounting, Finance, or a related field (preferred)
* 2+ years of experience in accounts payable, finance, or accounting roles
* Experience with accounting software is required
* Strong proficiency in Excel, including advanced functions like VLOOKUP, IF
* Excellent organizational skills with an eye for detail and accuracy
* Ability to work independently and manage multiple tasks in a fast-paced environment
* Strong problem-solving skills and the ability to resolve discrepancies
* Excellent communication skills, both written and verbal
* Ability to handle sensitive financial information with discretion

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure.
