Job Overview

The Therapy Casting Coordinator role provides a unique opportunity to learn and support casting services for occupational and physical therapy services. Extensive training and shadowing provided for this hands-on role to fabricate and apply splints to assist clinicians, in additional to providing scheduling and customer service support. Familiarity in working with patients with underlying neurodevelopmental conditions preferred.

The Therapy Casting Coordinator provides registration, scheduling (clinic), check-in/check-out, and/or customer service support for providers, patients, and families. Also assists professional staff (PTs, OTs,) in administering the healthcare and support needs of patients and families in a hospital/clinic setting with specific focus on casting and orthotic fabrication within the foot management and hand therapy program areas. Additional duties may include, but are not limited to, performing basic telephone triage duties; supporting insurance management functions; providing administrative support and high-level customer service support to patients, families, internal team members, providers, and referring practices; providing a clean, organized and appropriately prepared environment for therapy; and maximizing the providers ability to provide high quality care efficiently and effectively.

Job Status: Full-Time; 40 hours/week - eligible for benefits
Shift: 5x8 hour shifts, Monday - Friday

Qualifications

  • EDUCATION - High School Diploma or equivalent.
  • EXPERIENCE - Two (2) years of administrative and customer service experience in an office, clinical, or related setting.
  • EQUIVALENCY - A relevant associate or bachelor's degree may substitute for the required experience on a year for year basis.
  • CERTIFICATION(S) - BLS for Healthcare Providers / CPR.

ESSENTIAL FUNCTIONS

An employee in this position may be called upon to do any or all the following essential functions. These examples do not include all the functions which the employee may be expected to perform.

Supports therapy care delivery by preparing treatment areas, patient equipment, and materials, as well as assisting with appropriate resource coordination. Maintains organization and cleaning of the clinic while following infection control procedures and safety guidelines.

Demonstrates knowledge of unit-specific responsibilities for care delivery and organizational skills, to include prioritization and time management of clinic flow.

Performs supportive care and/or assistance under supervision of a therapy provider (such as helping patients onto therapy equipment, monitoring patient safety, providing casting support, etc.). Understands the roles within the care team, providing family-centered care to patients and caregivers while maintaining objective and professional boundaries.

Provides hands-on assistance during casting and orthotic fabrication sessions, which may involve preparing materials for therapy provider, stabilizing or positioning a patient's extremity, applying casting and orthotic fabrication material, removing casts and splints, etc.

Provides education regarding care to patients and families in various formats depending on their clinically identified learning needs in compliance with current hospital and departmental policies and procedures. Demonstrates accountability for care provided.

Maintains required patient care documentation and reporting of therapy sessions. Provides families with information/instructions on follow-up care as established by the treating therapist and answers any questions or requests.

Cleans (per infection control procedures and safety guidelines) and delivers equipment and supplies to treatment area, positioning equipment for therapist access. Identifies the need for and coordinates preventive maintenance on equipment, following manufacturer's instructions and guided troubleshooting of malfunctioning equipment.

Maintains therapy supply inventory by checking stock (2 bin system or par levels) to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies. Supports the ordering of custom orthoses and garments.

Collaborates with therapy casting coordinators at other sites to assist in learning new techniques, improve systems, and handle supply issues such as back stock and discontinued materials to maintain responsible supply utilization. Also actively monitors the patient schedule and current supplies and works to improve efficiencies in scheduling and utilization of materials to reduce costs.

Communicates with care team, i.e., physician, therapist, social work, family navigator, child life/therapeutic recreation, vendors, etc. regarding any patient's/family's needs beyond the scope of their role.

Provides patient support services which may include:

  • Scheduling, registration, patient check-in/out, rooming, and follow-up visit support.
  • Provides non-clinical support of the telephone screening/triage functions and routes calls as appropriate.
  • Receiving inbound and/or places outbound patient calls or works with patient/family in the treatment area to schedule casting and orthotic fabrication appointments and complete registration functions.
  • Assist in printing and distributing patient home programs and educates families on the benefits of using MyChart.
  • Works patient work queues to support therapy casting program appointment needs as they arise.
  • Supports health insurance management functions by collecting patient insurance information when needed.

Salary Information

Annual Salary Range (Based on 40 hours worked per week): $38,363.48 to $57,545.22
Hourly Salary Range: $18.44 to $27.67
