THE ROLE
The Events & Marketing Coordinator will collaborate with the Director of Membership and the Events Manager to execute an event calendar that is curated for Clayton Members. This is an operational role that will execute all aspects of Member event planning and organization. Detailed communication with operational departments will be critical to success of events.
As a vital part of the Clayton Membership team you are working in stride with the Director of Membership and Event Manager to collaborate on a meaningful, dynamic, and robust event calendar. You will be responsible for running the Activities Management portion of our Membership software (Jonas). This means that you will handle all events bookings, guestlist and waitlist, as well as CRM as it pertains to members experience and events. You will manage the machine that ensures all back of house event functionalities run perfectly. You will serve as the Event's Manager 'right hand' - detailing event BEO's, managing the events inbox, participating in club events, and overall acting as administrative support.


WHAT YOU WILL DO



  • Assist in all aspects of event planning, event detailing and execution
  • Right-hand to the Membership Events Manager
  • Assist with the run-of-show for all activations and events
  • Coordinates with Events Manager and Director of Sales & Membership on event promotion materials including collateral, signage, and digital invitations for member events
  • Execute creative marketing flyers for event promotion and property signage
  • Manage and post on the private members only Instagram page promoting events
  • Owns the RSVP event data management of the club software
  • Supports off-site events and activations as needed
  • Exhibit passion for organization, systems, and details
  • Ensure accuracy and promotion of monthly Member events calendar through member portal and website
  • Executes weekly BEOs
  • Participate in regularly scheduled BEO meetings with the Events Manager to communicate details for member programming and activations
  • Attend event meetings with potential event hosts
  • Management of the Event Calendar descriptions and internal Excel/Google spreadsheets
  • Owns setup/breakdown of events
  • Respond to all event inquiries in a timely manner
  • Responsible for member communication in regard to events including reminder emails to members, monthly event feedback surveys, maintaining the events inbox and responding in a timely manner
  • Maintain internal Outlook calendar invites for member events and event lead assignments


POSITION REQUIREMENTS


  • Minimum of one (1) year of experience in a role that lends itself to conceiving, detailing, and executing events in hospitality, catering, banquets, event planning, or Public Relations
  • Proficiency of the English language in reading, writing and verbal communication
  • Proficiency in Excel, Word, Outlook, Google Docs, PowerPoint. Experience in Delphi a plus
  • Knowledge of Canva and/or Social Media platforms
  • Ability to stand for long periods of time during an event and/or lift up to 20lbs
  • Flexible schedule required to facilitate evening and weekend events
  • Adaptable interpersonal skills
  • Comfortable in your own skin, know who you are and have a point of view.
