Primary Function: Serve as comprehensive project manager for special events, and sponsor activities for the Northampton Community College Foundation, as well as selected College events as assigned. Work in collaboration with Foundation management, Foundation Board of Directors, gift officers and other Foundation and College personnel in the smooth planning and execution of all assigned events, to include sponsorship deliverables for Foundation fundraising events. Responsibilities: SPECIAL EVENTS PLANNING: (1) Responsible for effective and timely planning and successful execution of donor cultivation, fundraising and other special events both on and off NCC campuses. (2) Provide ideas for event themes and event activities that promote an extraordinary experience for donors, prospective donors and other guests. (3) Manage all details associated with planning effective events including, but not limited to: Room reservations, event invitations, event rentals, menu planning, guest list management, technology needs, name tags, event entertainment, and other event details. (4) Coordinate with marketing, facilities, IT and other internal and external partners to ensure all event details are planned for in a timely fashion, and that other areas of the college are aware and participating as needed. (5) Serve as liaison with outside vendors to ensure contracts are signed and executed, invoices are processed and paid in a timely fashion. (6) In coordination with the Executive Director, develop and adhere to budgets for events. (7) Responsible for proper "close out" of all Foundation events, including payment of invoices and properly documented expenses, guests/guest lists, sponsorship deliverables in donor management system of department's shared drive. (8) Serve as liaison with Board of Directors as needed for event related activities in absence of, or to assist Executive Director. (9) Assist as needed in other college (non-Foundation) events to ensure successful execution (10) Other duties as may be assigned. SPONSOR RELATIONS: (1) Work with Foundation management in the development of sponsorship information for fundraising events, and coordinate details related to design and printing of such materials, to include digital assets as needed (2) Oversee and assist with tracking sponsorships for special events, keeping Foundation management abreast of sponsorship progress (3) Oversee billing and tracking of payments for sponsored events. (4) In collaboration with other Foundation management, ensure that all sponsor benefits are other deliverables are fully executed (5) Working with Foundation Operations team, determine and manage payment processing needs for fundraising events. (6) Other duties as may be assigned. Organizational Relationships: (1) Responsible to Executive Director, Institutional Advancement and NCC Foundation for performance of assigned responsibilities. (2) Oversees Manager of Special Events and Sponsor Relations (3) Works with the College's culinary arts/hospitality departments, and Sodexo, for all catering needs. (3) Main liaison with all external service providers as needed: caterers, florists, etc. (4) Relates role to College goal and mission attainment. Performance Standards: Performance in this position is considered satisfactory when: (1) mutually agreed upon objectives have been attained within a specified time frame, (2) responsibilities of the position have been carried out at a level consistent with performance objectives, (3) effective cooperative relationship exists with other members of the administrative team. Qualifications: (1) Education: (a) Bachelors degree in related area of study from a Councilfor HigherEducation Accreditation (CHEA) approved Institutional Accreditor college, or equivalent experience (2) Skills, Knowledge, Abilities: (a) ability to develop and strengthen existing communication channels in cooperation with others; (b) work effectively with outside vendors and internal partners including students, faculty and administrators and donors (c) skills in interpersonal relations; (d) ability to work with and relate to community constituencies; (e) ability to schedule, plan and complete assigned responsibilities and projects paying close attention to details and adhering to strict deadlines; (f) knowledge of office management methods and procedures. (3) Experience: At least five to seven years in events management, demonstrating a clear record of successful event execution. Experience in managing a team preferred. |
