Job Summary

Oversee the employment processes to ensure an efficient, accurate, and smooth hiring workflow. Implement Talent Acquisition practices to include execution of core HR administrative services to new hires, employees, and managers. Oversee HR front desk activities and part-time staff.


Essential Duties

Foster strong working relationships with applicants, staff, faculty, and new hires by providing outstanding customer service.

Ensure all new hires are progressing through the hiring process which includes conducting background checks, pre-employment drug screens, offer letters, issuing new hire forms, etc.

Partner with Talent Acquisition team to review background check and pre-employment drug screen results. Evaluate results and determine if the candidate can progress with the employment process. Confer with supervisor as needed.

Establish and maintain a filing system appropriate for new hire data including any missing working papers.

Assist Talent Acquisition team with new hire paperwork including I-9 form and E-Verify and create new employee ID badges. Add new employee information to the new hire spreadsheet.

Cover front desk as needed and perform administrative and clerical support tasks, such as greeting visitors, determining the purpose of each person's visit, routing calls to the appropriate person, etc.

Partner with Talent Acquisition team to monitor the Human Resources email account and appropriately responds to inquiries or forwards to the correct HR team member.

Assist with the coordination of projects related to employment such as updates to the Applicant Tracking System (ATS), hiring procedures, search committee training, etc.

Review invoices on background checks.

Serve as the Applicant Tracking System administrator and post job opportunities in the supervisor's absence.

Attend New Employee Orientation to assist with onboarding process of new hires.

Coordinate the preparation and electronic filing of employee personnel files.

Partner with Talent Acquisition team to update employee personal data changes (address, name change, campus location, etc...)

Receive, record, and process all payroll additions, status changes, and separation materials into the HRIS Systems. Observe and comply with all biweekly, monthly, and part-time faculty payroll processing priorities according to the College's payroll schedules.

Oversee HR front desk activities and part-time staff.


Minimum Qualifications

Associate's degree or equivalent education in Human Resources, Business, or a related field. Degree requirement may be substituted with relevant and equivalent work experience.

One year applicable experience preferably in a high customer-volume or human resources department.

Ability to communicate clearly and effectively at all levels of the organization.

Ability to quickly establish and maintain rapport with all employees.

Strong solutions-based mindset, analytical skills, detail orientation, and interpersonal skills; must have excellent organizational skills and the ability to multi-task.

Ability to work effectively in a team-based environment.

Ability to organize and perform responsibilities on one's own initiative with minimal supervision.

Sensitivity when handling confidential information in a professional and discreet manner.

Experience with Microsoft Office 365.

Ability to work for prolonged periods sitting at a desk and working on a computer.


Preferred Qualifications

Bachelor's degree in Human Resources, Business, or a related field. Degree requirement may be substituted with relevant and equivalent work experience.

One year experience in Human Resources.

Experience utilizing Human Resource Information Systems including an applicant tracking system.

Ellucian Banner experience.
