TOTE Resources is looking for an HRIS Manager to join the team at our Downtown Tacoma office.
In this position you will:
be responsible for leading HRIS operations, ensuring data integrity, and optimizing HR technology to support strategic decision-making. This role oversees the HRIS Specialist, provides guidance on system usage and reporting, and collaborates with HR, IT, Payroll, and Finance teams to improve HR system functionality and efficiency.
Main Duties and Responsibilities Include:
Leadership & Supervision:
- Supervise, mentor, and provide performance feedback to the HRIS Specialist.
- Assign and oversee workload, ensuring timely and accurate completion of tasks.
- Establish best practices for HR systems and reporting processes.
- Serve as the primary point of contact for HRIS-related inquiries, troubleshooting, and system upgrades.
- Effectively mediates and resolves conflicts between HRIS and other departments, ensuring clear communication, fair problem-solving, and a collaborative approach to addressing issues while maintaining a positive work environment.
- Act as a liaison between HR and IT teams to enhance system functionality and resolve technical issues.
HRIS Administration & Data Management:
- Lead the integration of new companies in HRIS system, ensuring smooth data migration, system configurations, and alignment with organizational processes to maintain seamless operations across different business units.
- Support business growth opportunities (mergers, acquisitions, new contracts, etc.) with organization systems, reporting, and execution by playing an active role in culture integration.
- Identify and lead continuous improvement efforts and teams across multiple functions and locations.
- Oversee the administration and maintenance of HR systems, including ADP, Cornerstone, Blue Ocean Brain, AwardCo, eVerify, HireRight, and others.
- Ensure the accuracy, security, and compliance of HR data across all platforms.
- Conduct regular audits to identify and correct data discrepancies.
- Manage data feeds and automated reporting interfaces between HR and IT.
- Lead system enhancements, integrations, and migrations, including onboarding new companies into HRIS platforms.
Reporting & Compliance:
- Develop and oversee HR reporting processes, ensuring timely delivery of key metrics and insights.
- Analyze trends and metrics in partnership with HR and business to develop solutions, programs, and policies.
- Analyze HR data to provide meaningful reports that inform decision-making.
- Generate EEO, VETS, and ACA reports for audit and compliance purposes.
- Oversee data validation for employee engagement surveys and ensure report accuracy.
- Ensure compliance with data privacy regulations, including HIPAA and other security standards.
HR Operations & Collaboration:
- Partner with HR leadership and business unit HR teams to coordinate HR communications and system updates.
- Oversee the administration of open enrollment and annual HR system updates in coordination with the benefits team.
- Ensure smooth coordination between HR, IT, Payroll, and Finance to optimize system workflows.
Employee Support & Training:
- Facilitate training and support to HR, managers, and employees on HR systems and reporting tools.
- Lead initiatives to improve HRIS knowledge and system proficiency across teams.
- Establish documentation and training materials for system users.
The ideal candidate will have:
Qualifications (Education, Experience, & Certifications) -
- Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience), preferred.
- HR certification preferred.
- Proven experience (typically 5+ years) in HRIS management, including system implementation, maintenance, and upgrades.
- Preferably 2+ years supervisory experience or demonstrated leadership capabilities.
Knowledge, Skills, & Abilities -
- Proficiency in HRIS software (e.g., ADP, Cornerstone) and understanding of data analytics, report generation, and database management.
- Strong understanding of HR processes, compliance regulations, and employee lifecycle management.
- Strong analytical and problem-solving skills with a focus on continuous improvement.
- Excellent organizational and time-management abilities.
- High level of discretion and ability to handle confidential information.
- Strong verbal and written communication skills, with the ability to collaborate across departments.
- Familiarity with payroll and timekeeping systems.

The salary range is $79,600 - $151,000 with the anticipated starting range $85,000 - $110,000. Pay will be based on several factors including the candidate's education, work experience, work location and specific job duties.
