The Payroll/HRIS Manager is responsible for overseeing the efficient and accurate processing of employee payroll across the USA and Canada. This position serves as the primary point of contact for the payroll team, employees, and external payroll vendors, ensuring compliance with payroll regulations, auditing payroll records, and managing HRIS system updates. The role also includes maintaining comprehensive payroll documentation, addressing complex payroll-related issues, and HRIS reporting. Will supervise and manage the daily activities of the payroll team, ensuring deadlines and departmental goals are met. This role reports to the Vice President, Human Resources.
- Manage the payroll team and serve as back up to processing payroll
- Ensure timely and accurate payroll processing for all clients, including exempt, non-exempt, and commissioned employees.
- Maintain and update payroll records, including new hires, terminations, promotions, and salary changes.
- Audit payroll transactions for accuracy and compliance. Prepare detailed payroll reports for management, finance, and audit purposes.
- Assist finance with tax filings
- Ensure compliance with federal, state, and local payroll regulations, as well as company policies. Monitor payroll tax filings, deductions, and contributions (e.g., 401(k), health benefits, etc.).
- Address employee payroll-related inquiries and provide timely resolution to payroll discrepancies.
- Collaborate with client's, the HR Business Partner team, and external vendors to manage and improve payroll software systems, ensuring data integrity and efficiency.
- Continuously identify opportunities to improve payroll processes, enhancing accuracy, efficiency, and client satisfaction.
- Support benefit-related deductions, calculations, and compliance, coordinating with the HR team as needed.
- Administer and maintain compensation-related data
- Assist with merit increase processes, including HRIS processing, data analysis, and reporting.
- Analyze compensation data to identify trends, discrepancies, and potential areas for improvement.
- Ensure compliance with all applicable federal, state, and local compensation laws and regulations (e.g., FLSA, Equal Pay Act).
- Respond to employee inquiries regarding compensation-related matters.
- Partner with Talent Acquisition to manage job description and title maintenance.
- Support the administration of incentive programs (e.g., bonuses, commissions).
- Collect, analyze, and interpret HR data related to employee demographics, performance, turnover, and compensation.
- Identify and recommend process improvements to enhance data accuracy and efficiency.
- Create ad-hoc reports and analyses as needed to support Senior Leadership team, HR initiatives and business needs.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- 3-5 years of payroll processing experience, preferably in a multi-state mid-size organization.
- Strong understanding of payroll systems (e.g., ADP, UKG, or other relevant software) and payroll integration in ERP systems.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
- Advanced proficiency in Excel (vLookups, pivot tables, etc.).
- Knowledge of federal, state, and local payroll regulations.
- Excellent analytical skills and attention to detail.
- Strong communication and interpersonal skills to interact with employees at all levels.
- Ability to handle sensitive and confidential information with discretion.
