Position Summary:
We have an exciting opportunity to join our team as a Clinical Supply Chain Coordinator.

In this role, the successful candidate will be responsible for assisting the Clinical Supply Chain Director & Assistant Managers in the control of inventory supplies for Perioperative Services, Electrophysiology Lab, Cardiac Catheterization Lab, and Radiology. Assists in accomplishing facility inventory turn goals and other inventory related objectives within the department, including but not limited to, accurate recommended reorder points, reorder quantities, limit out of stock issues, and increasing use of consignment and ongoing evaluation of supply movement. Implements strategies that will financially and administratively enhance service and utilizes the functioning of the department maximizing all resources available to accomplish its goals. Also responsible for first line supervision of all Clinical Supply Chain activities, the coordination of delivery of medical surgical supplies as well working with vendors for loaner/consignment products to the Surgical and Procedural Suites.

Job Responsibilities:

  • Coordinates with Nursing Leadership the re-ordering, re-stocking, and reconciliation of discrepancies of the supplies/implants based upon established par levels and consignment agreement.
  • Create requisitions for implant use in operating/procedural rooms:
    • Bill Only POs
    • Consignment Orders
    • Manual/Rush requisitions
    • Special Requests Orders
    • No Charge POs (trials/consignments)
  • Verifies and validates vendor consignment replenishment requests based upon on-hand inventory as well as Operating Room usage.
  • Responsible for creating Patient Supply Requests for all newly added implants (consigned & non-consigned) in accordance with participating in the Inventory Control Board.
  • Maintains invoices, packing slips, and ensures receipts on all purchase orders associated with consignment products.
  • Establishes vendor appointments based on upcoming schedule and verification of attendance (in accordance with Nursing) within Vendormate.
  • Performs all inventory functions along with vendor sales rep, i.e. monthly/quarterly inventory, reconciliations, item updates, recalls, backorders, etc.
  • Identifies and communicates any backorders, recalls, or discontinued items with Nursing Leadership and CSCM Assistant Manager and coordinates necessary substitutes. Provides analytical reports to the CSCM Associate Director and Business Manager upon request.
  • Demonstrates the ability to maximize resources and is skillful in adjusting resources according to the workload and volume.
  • Demonstrates knowledge in generating and interpreting statistical, productivity, and quality performance reports and utilizes the data to improve the departments performance.
  • Accurately and consistently follows documentation guidelines in all phases of the process as required by the department and regulatory agencies.
  • Demonstrates comprehensive knowledge and technical expertise in inventory control principles.
  • Demonstrates ability and skills to monitor, audit and enhance the quality of the process and products manufactured or rendered to customers by the department.
  • Demonstrates ability to utilize management skills in good judgment and decision making, time management and meeting deadlines and demonstrates a high level of initiative.
  • Maintains continued education in the field of Materials Management operations and equipment through education, literature, and seminars. Provides instructions and in-services in new products, procedures and equipment in a manner what will identify and prevent resource loss and maintain safety.
  • Performs other duties as assigned.

Minimum Qualifications:

Bachelor's Degree with 0-1 year of experience, or the equivalent combination of education/experience. Strong skills related to the management of inventory control with a 0-1 year of progressive work experiences in supply distribution. Knowledge of Clinical Supply/Materials Management general operations. Knowledge of specialty health care products. Must possess extensive customer service skills as well as intricate computer literacy and proficiency in Microsoft Office applications required. Excellent interpersonal and communication skills.

Preferred Qualifications:
Certification in Materials Resources (CMRP). Experience in computerized inventory control with an emphasis on medical/surgical supplies. 1-2 years of EPIC/patient scheduling experience. (Peoplesoft 9+ preferred)

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $62,400.00 - $64,350.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
