Payroll Clerk

Purpose
Administrates and performs a variety of processing, reconciling and clerical responsibilities involving total payroll operations. Responsible for the processing of daily timecards for operations while promoting a team environment. Ensures timely and accurate processes and maintains internal controls, policies, and procedures. Reports to the Payroll Supervisor.

Focus & Scope
Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below.

Technical / Specialty Area
  1. Enters, maintains, and processes information in the payroll system for multiple union and non-union entities.
  2. Verifies accuracy of payroll received from Operations; prepares and submits payroll and cost related adjustments.
  3. Ensures Time Entry internal controls are met.
  4. Reviews weekly reports to ensure accurate time entry before moving on to Finance payroll.
  5. Recommends and provides feedback to ensure efficient processes.
  6. Adhere to and processing of weekly Time Omit timecards ensuring accuracy.
  7. Performs various other duties as special projects as assigned by supervisor in a timely and professional manner.

Job Qualifications & Requirements

Education:
  • High School Diploma. Associate's degree in Business, Accounting or Finance or combination of technical training and related experience preferred.
Experience & Industry Expertise:
  • 2-4 years of experience with payroll software programs or an equivalent combination of training and related experience.
Specific Job Requirements:
  • Valid Driver's License
  • Knowledge of union contract payroll-related issues, including health and welfare preferred.
  • Proficient with Excel, Word, and payroll processing software.
  • Proficient with 10-Key by touch.
  • Must demonstrate excellent written and verbal communication skills as well as the ability to exchange information with others clearly and concisely.
  • Must demonstrate the ability to take the initiative and make sound decisions based on analysis, experience, and judgment.
  • Proficient in Vista payroll software.
  • Ability to work independently, demonstrates initiative in making decisions and execute responsibilities with a high degree of accuracy.
  • Must demonstrate the ability to maintain a high level of confidentiality.
  • Must be able to analyze and solve problems and come to resolution and strive improve inefficiencies within the department.
  • Ability to set appropriate priorities, work well under pressure, and meet strict deadlines.
  • Develop and maintain strong working relationships internally and externally.
  • Train and develop entry level Payroll Clerks.

Equipment Used:
  • Personal computer, telephone, personal protective equipment (i.e. safety glasses, hearing protection when at job sites)
Physical Demands & Work Environment:
The physical demands and work environment characteristics are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Physical: Sitting for long periods of time working at the computer or driving to job sites. Job site visits require walking on uneven ground, climbing, bending, stooping, crawling in confined or enclosed spaces. Some lifting of materials and equipment up to 25 lbs. Close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. May work long hours during peak seasons, closings and system upgrades.
  • Work Environment: May work various shifts or hours, including early mornings, dusk or evenings. Typical office environment with adequate temperatures and lighting, low levels of noise.
