As an Service Coordinator, you will play a critical role in coordinating service work orders, ensuring seamless execution, and driving process improvements. - Open and manage service work orders (SWOs), ensuring accurate tracking and communication with service managers and internal teams.
- Review customer requests for quotes (RFQs) to ensure quotes and orders align precisely with customer needs.
- Record and track time and travel expenses related to service personnel.
- Invoice service work orders, ensuring bookings match customer POs and resolving any discrepancies.
- Support accounts receivable (AR) aging inquiries, ensuring timely resolution.
- Maintain strong communication with internal teams and customers, following up on open quotes and orders to maximize revenue.
- Collaborate with multiple departments to coordinate service delivery and ensure efficient workflows.
- Assist in overseeing workshop productivity and quality, including process improvement initiatives and cross-training efforts.
- Ensure clean and accurate billing within 5 business days of job completion.
- Provide proactive customer updates on job progress and timelines.
- Drive continuous improvement, aiming for a 3-5% increase in workshop margin year-over-year.
- Support quality control efforts, gathering feedback from internal and external stakeholders.
What You Bring
- Technical knowledge or experience in the power generation industry (preferred).
- Strong customer service orientation with excellent communication skills.
- Experience with technical sales and the ability to read and interpret technical drawings and documents (preferred).
- Negotiation skills with the ability to balance customer needs and business objectives.
- Ability to manage multiple tasks, prioritize effectively, and work efficiently in a fast-paced environment.
- Proficiency in Microsoft Excel, Word, PowerPoint, and experience with ERP systems.
- Strong attention to detail, problem-solving skills, and ability to drive process improvements.
- Self-motivated, adaptable, and able to work independently while collaborating with a team.
Education & Experience
- Associate or bachelor's degree in procurement, supply chain, distribution, technical science, or a related field (preferred).
- Minimum 3 years of relevant experience in service operations, order fulfillment, or a related field.
Work Environment & Physical Demands
- Office-based role with routine use of computers, phones, and office equipment.
- Occasional work in service environments, requiring standing, walking, and lifting up to 50 pounds.
- Ability to kneel, stoop, and work in confined spaces as needed.
- Comfortable working outdoors in various weather conditions when necessary.
