The Supervisor, Commercial Administration is responsible for overseeing the department's workflow, including reallocating tasks among team members during staff shortages or absences. Daily responsibilities include distributing Last Call and Closed Missing reports to keep Pricing and Planning, AdSales, and Sales Administration updated on commercials at risk of being removed from the closing logs if advertiser issues remain unresolved by the deadline. The Supervisor conducts a final review of all logs before submission, addressing any S&P or media concerns and resolving credit violations before the logs are sent for promotional filling. At the end of each day, the Supervisor ensures all tasks are completed and that the necessary logs for the next day's broadcast are uploaded to BOX and confirmed by Tempe.

Discrepancy reports, which highlight placeholders or errors from reconciliation, are sent daily to Pricing and Planning and AdSales to inform them of any spots that did not air as scheduled. Together with the Department Manager, the Supervisor regularly evaluates the department's workload and upcoming deadlines to decide on time-off requests and provide coverage during employee absences as needed.

A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Manage the team: Approve time off requests, account for coverage, approve timecards, and write employee reviews
  • Finalize and export commercial logs to Tempe
  • Ensure all log XML files (Primary, Alternate, Contingency, Daily Fills, Evergreens, and Backups) have been transferred in BOX/PDFs have been uploaded
  • Handle the final check of commercial logs submitted for air
  • Time out Primary logs at the end of the day
  • Apply Clockwrap and DoubleBox backplates
  • Make needed adjustments to log automation elements
  • Send out Last Calls, Closed Missing emails/reports, and respond to Gatekeepers
  • Create new Supplier accounts in AOS. Send any Day of air changes
  • Interface with Sales Coordination, Sales, Programming, On-air Promo, Standards and Practices, and Operations as necessary to complete logs
  • Reconcile and post logs after air
  • Cover when we have planned/unplanned employee outages

WHAT YOU WILL NEED

  • Prior computer experience required
  • Excellent verbal and written communication skills
  • Ability to communicate precise information clearly and accurately
  • Experience with Windows-based software and database programs
  • Exceptional attention to detail
  • Excellent organizational and time management skills
  • Ability to make judgments within parameters as trained
  • Ability to balance multiple requirements and know when to escalate issues
  • Ability to spot discrepancies and problem-solve using reports and other tools as trained
  • Ability to meet strict deadlines under pressure
  • Ability to multi-task and manage a large volume of work
  • Ability to maintain a professional demeanor under pressure

  • Prior Commercial Administration/Agency/Traffic experience
  • Microsoft Excel experience

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $55,500.00-77,500.00 annually for high cost labour markets such as but not limited to New York City and Los Angeles, $46,200.00-64,500.00 annually for all other US locations. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
