Position Summary Information
Primary Purpose |
The HR Service Coordinator is responsible for ensuring the smooth operation of HR services by managing front desk operations, administrative tasks, and service delivery. This role serves as the first point of contact for employees, students, and external stakeholders, providing excellent customer service and administrative support to the HR team. |
Essential Functions |
- Oversee daily front desk operations, including but not limited to, I-9 verification, unemployment and employment verifications, Federal Work-Study (FWS) audits, and OnBase document management.
- Manage and respond to all HR-related emails and phone inquiries in a timely and professional manner.
- Manage, maintain, and develop HR websites such as MyPacific portal and HR external site, ensuring accurate and updated HR-related information for employees and students.
- Provide administrative support to the CPO and HR leadership team in budget planning and administration including ProCard reconciliation.
- Provide general office support, including coordinating office supplies, setup, and maintenance requests.
- Assist with EPAF (Electronic Personnel Action Form) processing and support to ensure accurate employee records and payroll actions.
- Supervise and provide guidance to HR student workers, ensuring a positive and productive work environment.
- Monitor and ensure building safety by following workplace safety procedures and coordinating safety-related requests.
- Support service delivery by maintaining efficient HR processes, enhancing employee experiences, and improving response times.

Minimum Qualifications |
Education:
- Bachelor's degree in Business Administration, Human Resources, or a related field OR equivalent (i.e. Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post-high school education coursework).
Skills:
- Two (2) years of experience with budget management.
- Two (2) years of experience with I-9 verification, employment verification, and related compliance requirements.
- Two (2) years of experience in an administrative or customer service role, preferably within HR.
- Two (2) years of experience managing front desk operations or working in a fast-paced, service-oriented environment.

Preferred Qualifications |
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite, HRIS systems, and document management platforms.
- Excellent communication and interpersonal skills to interact with employees, students, and external agencies.
- Experience with Federal Work-Study (FWS) audits.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
- Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
- Ability to engage and integrate culturally responsive practices and knowledge in their work.
