Job Summary

Responsible for the management of office facilities including project management. Responsible for physical plant maintenance, including building electric and mechanical systems, HVAC and plumbing. Manages procurement of service contracts. Interfaces with all operational departments on Facilities-related matters. This role is 5 days onsite in Bethpage location

Responsibilities
  • Project Management that drives key initiatives to completion. Work includes the optimization of space and building operations efforts at 1111 Stewart Avenue, Bethpage and One Court Square, LIC; and other projects initiated by the Design, Facilities, and Security teams. Manages communications and strategic coordination within the company, based on key milestones to be met.
  • Gather, analyze, and present key performance metrics and critical data for Facilities, Design and Security as requested, so it can be shared clearly in strategic reports and other presentations for company management.
  • Lead the discussion, development, and execution of business process-related improvements/changes from Corporate Administration management. Includes the development/revision of standards, policies, user/reference guides, training materials, FAQs, web content and other related documentation that define the proper processes and standards to employees.
  • Govern the strategic and tactical communication of policies, standards and work affecting building operations to key stakeholders across a variety of employee distribution channels, including email and print and online/social media.
  • Leads interacting with the IT team - managing systems/processes utilized by Corporate Administration teams. Includes Facilities 360, the Facility Request System used to track the submission of facility-related issues to completion and the Space Management portion of the eProvisioning onboarding system to ensure the Space Management team is timely notified to assign seating for a new hire. Work also includes managing the accessibility and status of shared mailboxes associated with Corporate Administration (e.g., AUSA Facilities, Bethpage Facilities, Office Return, etc.)
  • Project Management of requested employee moves to and from company locations, inclusive of onboarding requests for new employees beginning work at the company. Also manage the traffic of Facility Requests to the appropriate Facility Technicians, as needed.
  • Meet with key contacts at area locations and survey buildings for occupancy, as needed, to provide the most accurate employee data available for FM Systems.
  • Act as lead for the planning, execution and communications related to annual Evacuation Drills that take place at properties across the company footprint, ensuring all drills are completed within the scheduled timeframe. Also contribute to the management of communications/content related to Business Continuity and Emergency Preparedness Plans, as requested.
  • Manage responsibilities in support of the 5S Cleanup program, the Waste Management Program initiated by Health, Safety & Environment, and other building asset removal projects supporting the Company's Workplace Strategy & Facility Operations, as well as for other standards, processes and policies advocated by Corporate Administration.
  • Work on targeted assignments for VP, Real Estate & Facilities and Senior Director, Facilities, Construction, and Design, as needed.
Qualifications
  • Bachelor's degree preferred
  • 6+ experience in facilities operations
  • Strong knowledge of building facilities, construction, HVAC, OSHA, and other regulatory standards
  • Strong project management skills, and the ability to plan, coordinate, and implement maintenance, repair, and construction projects
  • Excellent oral, written, and organizational skills, including the ability to effectively communicate with vendors, contractors, and department personnel
  • Computer proficiency in Microsoft Office (Word, Excel, Powerpoint, MS Project)
  • Clean, valid Driver's License

This position is identified as being performed in/or reporting to company operations in New York State. Salary ranges are supplied in compliance with New York State law. Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $102,816.00-$125,000/year. The rate/range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
