Job Summary

The Optometry Analyst monitors and coordinates daily administrative operations of the specialty contact lens clinic, including patient scheduling and authorization, patient coordination, and thorough medical record documentation. Optometry Analyst evaluates existing administrative processes and develops new administrative procedures to assure optimal practice operation. Optometry analyst tracks specialty contact lens orders and coordinates patient visits accordingly. Responds to patient concerns and escalates sensitive situations as necessary. Works with Optometry Practice supervisor as needed to maintain clinic schedule for the Optometry and Pediatric Ophthalmology Divisions and may assist Practice Supervisor in coordination of provider schedules. Implement initiatives and procedures that improve claims submission and revenue collection. Generates and reviews reports and relevant data and suggests process improvements. Monitors revenue process to ensure claims are reimbursed appropriately. Ensures that optometrists are properly enrolled in all related insurance and payer plans as well as clinical systems (EPIC/Kaleidoscope). Works with Optometry Director, Department Director, and Medical Director to lead and implement projects that advance True North goals and strategic development. Provides guidance to billing staff. Monitors billing practices from pre-authorization through claims generation. Performs VSP billing. Manages relevant work queues and DAR (department appointment report) daily. Reviews and maintains clinic policies, procedure manuals, and standard work documents. Serves as an internal resource for compliance, HR, and finance issues and as a clinic resource for colleagues across campus and at other medical centers. Monitors inventory and reporting requirements. Coordinates vendor contracts. Engages with service providers coordinating repairs. Optometry Analyst is an expert user of relevant information technology systems, providing support and compliance oversight. Trains team on IT system and applications. Oversees clinic resource management and suggests ways to reduce cost and/or enhance revenue.

The Optometry Analyst works closely with the specialty contact lens providers to provide full administrative support to PROSE and specialty contact lens service. This includes but is not limited to processing of incoming referrals, internal as well as external. Obtaining insurance pre-authorization prior to the appointment date. Facilitating financial aid applications for PROSE service. Scheduling appointments and assuring that all relevant paperwork is completed and signed. Monitoring revenue process. Communicating with patients, PROSE and specialty contact lens providers, and patient's healthcare team to help provide a well-coordinated service

Department Description

The department of Ophthalmology is a large multi-specialty practice spanning over four locations including the Parnassus, Mission Bay and Berkeley Campuses. Our practice treats all levels of ophthalmic pathology, from basic refractive correction to complex conditions of the eye. We possess a diverse patient and treat both pediatric and adult populations. The department is a high throughput ambulatory clinic that is procedure and outpatient based.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • 5 years of relevant experience
  • Advanced knowledge of the clinical and operational implications of ambulatory care clinic practice management including patient care workflows and processes. Advanced understanding of medical terminology and maintains a broad range of clinical expertise in theory and best practices of clinic practice area.
  • Proven ability to apply knowledge of medical center policies and procedures and related legislative, accreditation, licensing and compliance environments to assess and monitor clinic operations to recommend improvements in clinic processes.
  • Advanced communication skills; includes verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. Demonstrated ability to clearly and concisely communicate about clinic operations and advocate for clinic.
  • Advanced interpersonal skills. Skills to work collaboratively; coordinate and integrate with others throughout the organization. Successful experience working with people with a wide range of backgrounds and skills.
  • Advanced organizational and complex project management skills. Ability to lead a team, prioritize personal and team tasks and see projects through from inception to completion on schedule. Exceptional customer service, analytical, planning, problem-solving, interpersonal and team-building skills. Ability to effectively persuade and negotiate results in complex situations.
  • Ability to perform all commonly applicable functions in the Microsoft Suite. Skills in data management.
  • Advanced knowledge of organization's relevant healthcare and clinic operations information technology, including billing systems and medical record documentation. Ability to teach others.
  • Advanced knowledge of data analysis, research and reporting, particularly methods used in ambulatory care clinics.
