Job Summary

Under the general supervision of the the Allergy, Immunology and Infectious Diseases Clinics Practice Manager, the Administrative Supervisor 2 will work independently and have primary responsibility for the supervision of practice coordinators assigned to the Allergy, Immunology and Infectious Diseases Clinics clinics.

The Allergy, Immunology and Infectious Diseases Clinics Administrative Supervisor 2 will primarily be responsible for overseeing the work completed by the practice coordinators who schedule new and follow up patient appointments, obtain authorizations for services, patient registration, build and maintain templates, co-pay collection, insurance verification, supply management, monitors face to face interactions with patients, interfaces with billing and patients to resolve issues, trains and supports practice coordinators call triage. Working in a leadership role making critical decisions, this position participates in and oversees the coordination of patient care resulting in a smooth and coordinated experience for the patient. Their span of control will range beyond that of Parnassus and encompass Bayfront and the Contact Center.

The Allergy, Immunology and Infectious Diseases Clinics Administrative Supervisor 2 must have the ability to perform and prioritize multiple tasks and work well with staff, patients, and providers. A high degree of independence, initiative, assertiveness, and diplomacy are necessary in dealing with faculty, staff, and patients in a complex environment. They will work closely with both administrative and clinical personnel to optimize resources and provide an exceptional service experience to all stakeholders including patients, providers, and referring physician offices.

Daily Operations:

  • Actively participates in all aspects of administrative operations and makes recommendations for improvement
  • Serves as the workqueue supervisor by delegating the monitoring and maintenance of workqueues in order to facilitate patient scheduling in a timely manner. This includes incoming and outgoing referral workqueues, procedure workqueues, follow up visits, and RFI
  • Handles all complaints related to the area of management/supervision
  • Monitors and assures staff compliance with procedures for management of referrals, authorizations, diagnostic imaging and scheduling, etc
  • Take a leadership role in supporting improvements in the efficiency of the unit working in collaboration with the Practice Manager, administrative & clinical staff, and providers
  • Assures the staff utilizes the Telephony system correctly using log-ons, worktime, and available statuses appropriately
  • Assists with time keeping/tracking and the time approval through HBS for direct reports
  • Participation in FTE and expense budget planning in coordination with the Practice Manager
  • Performs other duties/responsibilities assigned by the Practice Manager
Supervision
  • Supervises non-clinical daily activities of:
    • 12 MA's, 2 LVN's, 2 Pharm Tecs,10 RN's and 4 NP's
  • Supervises administrative duties of 7 (10 Future State) Practice Coordinators
  • Span of control includes Bayfront and Contact Center

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $91,700 - $137,600 (Annual Rate).

  • Asthma
  • Allergic rhinitis
  • Sinusitis
  • Rashes
  • Food allergy
  • Drug hypersensitivity
  • Bee sting allergy
  • Immune deficiencies
  • Frequent infections
  • Inflammatory Diseases
Complete skin testing and injection therapy for allergies

The UCSF Infectious Diseases Clinic offers evaluation and treatment for a wide range of infectious diseases, with a focus on complex or unusual conditions. We often care for patients with the following concerns:
  • Recurrent infections of the skin or other soft tissue (supportive tissues such as muscles and fat)
  • Recurrent urinary tract infections
  • Recurrent herpes virus infections
  • Mycobacterial infections of the lungs and skin
  • Coccidioidomycosis, or valley fever, a type of fungal infection
  • Fever of unknown cause
  • Bone and joint infections
  • OPAT (Outpatient Parenteral Antibiotic Therapy

Required Qualifications


  • Bachelor's degree in related area and / or equivalent combination of experience / training.
  • Minimum of 2+ years overall experience in related field
  • 1-2 years of supervisory/management/leadership responsibilities/experience
  • Demonstrated supervisory and organizational skills to effectively supervise staff and to manage the complex workflow and multiple priorities involved with clinic / center administration.
  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirement and best practices.
  • Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters.
  • Strong analytical and critical thinking skills, with the ability to quickly analyze problems, determine appropriate level of intervention, and develop and apply effective solutions.
  • Strong interpersonal skills for effective collaborations with all levels of management and staff, consultants, and outside agencies.
  • Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex administrative, clinical, and technical information in a clear and concise manner, and to prepare and present a variety of reports, documentation, analyses, and project proposals.
  • Strong knowledge of business software and specialized applications and data management systems used in clinic / center operations.
