Job Title: Executive assistant/ Senior Administrative assistant

Pay rate: $27.00/hr. on w2 without benefits.

Location: 235 Promenade St Providence, RI, 02908

Duration: 1.5+ Years (With possibility of extension)

Required Experience:

  • Thorough knowledge of the principles and practices of public administration.
  • Thorough knowledge of the principles and practices of modern office management, and the ability to apply such principles and practices.
  • Ability to establish and maintain effective working relations with personnel.
  • Thorough knowledge of the principles and practices of effective implementation procedures for policies and procedure.
  • Ability to prepare accurate and concise written reports.
  • Ability to prioritize work based on importance.


Role & Responsibilities:

  • To assist the Center of Healthy Homes by performing the most complex administrative and supportive tasks involved in the implementation and administration of a major projects whose effects encompass all state municipalities and multiple departments and agencies of state government.
  • To oversee the official agency files and records and to ensure their accuracy and are kept current.
  • To study and analyze operational procedures and prepare detailed and comprehensive reports of findings and recommendations.
  • To arrange conferences and meetings with public officials and with representatives of the public, consumers, providers, professionals, and related organizations.
  • To perform outreach to municipal officials to check in about current and upcoming technical support needs and share any recent updates, resources, and requirements.
  • Schedule workshops and recruit participants.
  • Send training announcements and reminders, prepare handouts and other materials, assist in trainings.
  • Interact with public inquiries when they come to the Center.
  • Perform as required, varied public relations related duties such as outreach at community events, meetings, preparing news releases and writing and delivering speeches and trainings.
  • To assist a superior by performing administrative tasks and research in the overall agency operation.
  • To coordinate the flow of work among the various units within the agency.
  • To respond to inquiries and to direct them to proper location for response when necessary.
  • To exercise initiative and sound judgement in generating correspondence, maintaining records, producing reports, conducting communications, and relieving the executive of important administrative details; must maintain confidentiality and exercise discretion regarding work related issues and activities, especially those impacting labor/management relations.
  • To respond to a wide range of verbal and written inquiries of an administrative nature which do not require interpretations of policies and procedures.
  • To review correspondence, memoranda, statements, forms and records for content and compliance with administrative policies and procedures.
  • To independently compose a wide range of routine and unique correspondence.
  • To obtain a wide range of data and information as needed, to maintain automated and paper data filing systems, and to produce a variety of routine and special reports as required.
  • To make appointments, maintain calendars, make referrals, confer with other staff members to prevent or resolve operating problems related to the coordination of administrative support of work and as required, to lead or supervise the work of a subordinate staff.
  • To represent the executive or administrative superior, as assigned.
  • To perform a variety of routine office functions and routine clerical tasks incidental to the work of the office.
  • To do related work as required.


Required Education:

  • Associate's Degree or the successful completion of sixty (60) college credits from an accredited college or university.
