Customer Service Representative for heating oil department. Working at the front counter of the heating oil office will be the first to help customers on the phone or in person.

Responsibilities
Day-to-day responsibilities include, but are not limited to:
  • Greeting/helping customers that walk into the heating oil office.
  • Maintains a working knowledge of the company's facilities, website, services, surrounding areas, and any other information commonly required by customers.
  • Maintains good housekeeping practices for cleanliness, neatness and compliance within and around workplace.
  • Answering phone calls and assisting customers with their needs.
  • Placing fuel orders based off schedule provided by dispatch.
  • Performing customer payments from start to finish.
  • Sending fuel usages to customers when requested.
  • Counting cash box once a day and filling out cash log.
  • Monitor cash box.
  • Checking after hours drop box daily.
  • Perform billing on HO batches from previous days routes. Including making sure pricing is accurate, payment method is correct and invoices mailed or emailed.
  • Complete truck logs for each truck after billing to ensure all fuel and sales tie out and we are not missing any sales or fuel.
  • Complete inventory activity report to ensure all fuel loads were entered correctly by drivers.
  • Scanning and emailing Petro Star load tickets to controller.
  • File all batches and forms in correct order once billing is complete.
  • Process credit card transactions.
  • Create invoices for customers after billing is complete (print and mail).
  • Print next days routes once dispatcher approves routes are ready.
  • Cut tickets to size so one delivery is on one ticket.
  • Highlight important information for drivers on tickets and manifest. Be sure to include notes, keys, HOT or dipstick with each batch for driver as needed.
  • Update heating oil customers with balances past 30 days report once a week. View each customer account to figure out why they might owe money (cc declined, payment was not captured, cc expired, etc.). Follow up with customers by calling all points of contact and/or email to know when balance will be paid. Email updated report to Supervisor and Controller. Notify Supervisor of any customer accounts with no response or consistently going over 30-day grace period.
  • Follow up with all customers with declined credit card transactions weekly.
  • Perform transaction analysis daily and file.
  • Keeping all customer account information current.
  • Creating and maintaining customers with proprietary cards.
  • End of month procedures
    • Run reports and complete checklist.
    • Inventory
    • Move and complete month end filling
  • Process mail and drop off at post office as needed.
  • Processing, scanning and filling forms.
  • Stocking supplies/forms as needed.
  • Assist with department advertising.
  • Cover on call for a week during rotational schedule.
  • Immediately relay all safety issues to the supervisor on duty, the Operations Manager, and/or the General Manager.

Skills & Qualifications
  • Basic computer knowledge.
  • Phone skills and customer service educate.
  • Ability to be on call.
  • Strong interpersonal and persuasive communication skills, both written and verbal, are required.
  • Must be organized, detail oriented, motivated and able to perform in a fast-paced and dynamic work environment.
  • High school diploma or equivalent combination of training and experience.
  • Minimum of 18 years of age.
