Position Overview


Primary Purpose of Position
The Student Services Specialist in the Computer Science Department is a critical team member for promoting and achieving student engagement and success. The Student Services Specialist provides leadership and oversight of student financial aid and scholarship operations, including, but not limited to scholarship funds management, customer service, compliance, policy, analysis/planning, risk management, scholarship administration, class scheduling, and processing operations. The Student Services Specialist monitors and analyzes data to inform and enhance the Department's strategies for improving student recruitment, engagement, and academic progress; and generates and distributes reports on key performance indicators. The Student Services Specialist develops standards of service and provides training to assure responsive customer service towards promoting student satisfaction, issue resolution and ultimately student degree persistence and completion. The Student Services Specialist serves as a liaison with the offices of admissions, financial aid and student services, and works effectively with the relevant academic units across the Computer Science Department and key members of the College of Engineering Dean's office, including the Associate Dean for Undergraduate Education and Student Success. The Student Services Specialist also enhances and cultivates an environment that promotes a positive public relations image of the Computer Science Department in the eyes of prospective students, parents, contributors, the higher education community, and the general public.
Primary Function of Organizational Unit
North Carolina A & T State University is a public land grant high research activity institution that is committed to dedicated teaching and learning, scholarly and creative research, and effective engagement and public service. The University enrolls over 14,000 students.

The College of Engineering, with over 2,500 students, has EAC ABET accredited undergraduate programs in Architectural, Bio-, Biological, Civil, Chemical, Computer, Electrical, Industrial, and Mechanical Engineering, as well as a CAC ABET-accredited program in Computer Science. On the Graduate level, the College has 8 Masters of Science Degree programs, and 5 Doctoral programs. The 5 research cluster areas of the College of Engineering ( COE) are Autonomous Systems, Cybersecurity and Resilience, Energy and Sustainability, Healthcare Applications and Complex Systems and Networks. The Computer Science Department at North Carolina Agricultural and Technical State University has 14 full-time faculty members and offers BS, MS and PhD degrees. The department has a current enrollment of over 500 undergraduate students, 80 masters and 30 doctoral students. The faculty in the department conducts research in areas such as cybersecurity, cyber identity, computer vision, data science, big data, artificial intelligence and machine learning, software engineering, bioinformatics and quantum computing. The department has attracted funding from the National Science Foundation, the Department of Defense, the Department of Energy, as well as various industries to support research and education.
Work Hours 8:00 AM - 5:00 PM; Monday - Friday (and on occasional weekends)

Required Competency Managing Work and Performance
Duties

  • Establish guidelines for students to enhance their performance and retention in their programs at the CS Department.
  • Develop programs with acceptable outcome levels for student development.
  • Review work of student workers and staff upon completion to assess and solve problems.
  • Review accomplishments of the CS student services unit over a short-range period to ensure that performance and service meet the required standards.

Duties

  • Facilitate procedures for collecting, reviewing and utilizing student information that pertains to recruiting, admission, orientation, registration and retention.
  • Update Undergraduate Bulletins, Curriculum Guides, COGs.
  • Coordinate and manage a broad scope of work operations and processes to meet programmatic expectations and outcomes.

Duties

  • Coordinate and administer undergraduate students' professional and social activities for their retention and timely graduation.
  • Manage and monitor these activities and assess their impact on the student experience.
  • Provide student services including academic advising related activities as assigned.
  • Inform and advise students on program requirements and processes.
  • Identify and understand student service issues, client needs, and matters of a recurring nature to effectively address and resolve the issue.
  • Initiate creative programming to engage student participation.
  • Collect, research, and analyze information for processing, monitoring, or measuring data.
  • Develop internal processes and prioritizes workload.
  • Generate non-standard reports.
  • Function as a team member of the COE student service specialist team.
  • Conduct training for groups and individuals.




Required Competency Client/Customer Service
Duties

  • Develop activities to encourage effective working relationships with and among students, parents, faculty and staff and other external entities such as industrial partners and the alumni.
  • Advise students on academic and administrative questions effectively.
  • Interact in person and respond to written inquiries via email and communicates with students regarding deadlines, status and other specific needs.
  • Understand the needs of students and recognize how decisions impact other program areas in the College and University.
  • Develop and maintain effective working relationships with students in order to initiate, facilitate and complete work in the CS Department.
  • Interpret policies and makes decisions within delegated authority when responding to requests and non-standard issues.
  • Recognize how individual decisions impact other program areas and their goals.
  • Employ de-escalation techniques and conflict management strategies when appropriate.
  • Understand the role of students, faculty, staff, donors, parents, and visitors in their unique environments.

Duties

  • Develop and manage procedures for data collecting, organizing, filing, and reporting of all activities and responsibilities associated with the position.
  • Maintain records for current students while maintaining appropriate confidentiality.
  • Compiles statistics for CS Department records, surveys, annual reports and program reviews: enrollment, graduation and demographics.
  • Perform research, data collection, and analysis of information, and report writing.
  • Utilize, reconcile, and manipulate data from various internal and external software systems.
  • Apply an in-depth knowledge of program specialty or multiple program areas to improve existing programs or develop new programs.
