This position is located on the Morris Campus

Purpose of the position:
The Payroll Coordinator reports to the Human Resources Assistant Director at UMN Morris. This position manages the payroll entry, payroll confirmation, and time and absence activity for over 372 non-student employees (320 FTE) at the Morris Campus. In addition, the position is responsible for supporting the talent acquisition process for all employment groups at UMN Morris. The position will be assigned Finance Office duties that include, but are not limited to: reporting, payroll account string review and corrections, sales tax submission, general ledger work and other projects as assigned. The role requires a commitment to confidentiality, sensitivity, knowledge, and understanding of diverse academic, socioeconomic, gender, cultural and ethnic backgrounds.

Job Duties:

  • Payroll / HRMS 40%
    • Responsible for the entry and maintenance of data in the human resource management system (HRMS).
  • Help create Personnel Action Forms (PAF) to request position postings and employment changes and track them to completion.
    • TeamDynamix (TDX)
  • Using the completed PAF, request new hires and employment changes via TeamDynamix (TDX) system for entry via UMN Operations Center.
  • Responsible for confirming and reconciling requested changes and following proper procedures to resolve discrepancies.
    • Payroll
  • Review the bi-weekly payroll abstract and pre payroll confirmation reports. Investigate problems and answer payroll questions.
  • Responsible for adjustments/corrections, overpayments and communication to employees
    • Time administrator
  • Answer questions from employees and supervisors and help supervisors approve hours or provide back up approval when necessary. Run reports to identify errors.
    • Absence Administrator
  • Answer employee and supervisor questions regarding vacation and sick use, investigate and make corrections if necessary. Run reports to confirm approvals and find errors.
  • Talent Acquisition 20%
    • Support managers in preparing job descriptions and requests for posting vacant positions
    • Submit hiring tickets and participate in in-take meetings
    • Monitor hiring process to assure offer letter, background check and I-9 are completed promptly.
    • On-boarding
  • I-9 - conduct I-9 employment verification. Maintain accuracy with E Verify I9's with updating information as necessary for applicable team members (including reverifications and visa renewals).
  • Provides onboarding orientation for all new non-student employees; reviews and explains the MyU web portal, its function and the university payroll calendar as it affects their pay.
  • Human Resources 10%
    • In consultation with the Assistant Director, provides interpretation and advice to supervisors, employees and applicants regarding University work rules and bargaining unit agreements.
    • PAT Administrator - supports the tracking and completion of performance appraisals the UMN Performance Appraisal Tool.
    • Assist in administering and/or coordinating employment-related University programs and projects
    • Maintain historical files according to University retention guidelines. Provides departmental and campus recommendations and resolves related issues.
    • Liaison for Morris FMLA and Workers Compensation administration between the campus and the central operations center Provides departmental and campus support and resolves related issues.
  • Financial Reporting/Analysis and Budget Preparation 30%
    • Monitors payroll default accounts and performs corrections as needed
    • Assists with review and detailed entry for Position and Departmental Budgeting for Morris campus
    • Prepares/processes budget journals entries, and subsequent combo codes as needed
    • Reconciles General Ledger activity; prepares Journal Entries if necessary for corrections and upholds financial policy on the Morris campus
    • Under the direction of the Finance Manager, reviews and pays sales tax for the Morris campus, and submits journal entry for posting.
    • Other duties as assigned
Qualifications

Essential knowledge, skills and abilities:

  • Bachelor degree or a combination of related education and experience to equal four years.
  • Demonstrated experience with payroll and/or human resource management systems.
  • Demonstrated experience with Microsoft Word, Excel and PowerPoint software and Google applications.

Preferred knowledge, skills, and abilities:

  • Working knowledge of University of Minnesota policies and procedures.
  • Experience with University of Minnesota PeopleSoft Human Resources system.
  • Experience with University of Minnesota Enterprise Financial System.
  • Proven analytical, organizational and general office best practice skills.
  • Demonstrated good verbal and written communication skills.
  • Outstanding customer services skills.

Pay and Benefits

Pay Range: $52,285 - $57,000; depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
