Construction Administration Coordinator

Responsibilities

Seeking a positive, creative, self-motivated, adaptable team player who is detail oriented, possesses strong communication and problem-solving skills, and who enjoys working in a fast-paced, deadline-oriented environment. Position requires excellent organizational skills to provide administrative support to multiple project teams during the construction phase of projects. Ability to plan and prioritize tasks and the ability to manage multiple concurrent projects is a key.


Qualifications

Primary Duties Include:

  • Monitor all assigned active Construction Administration (CA) projects daily for RFI's and Submittals using Newforma, Procore and other Project Information Management (PIM) programs as required in a timely and efficient manner.
  • Process and forward new RFI's and Submittals to the responsible design discipline for review/response.
  • Communicate with each project team regarding Past Due RFI's and Submittals
  • Generate weekly RFI and Submittal reports using Newforma for internal project coordination
  • Provide Newforma assistance to multiple Page offices as needed
  • Assist in organizing project folders on servers for CA efforts

Secondary General Administrative Duties include:

  • Provide back-up support at front desk for scheduled lunch breaks and staff PTO, at least twice a week.
  • Monitor cleanliness of public areas on floor to which assigned, including kitchen, printer area, and conference rooms. Support set-up and break-down of Conference Rooms as required

Qualifications:

  • Minimum 3 years of experience in an administrative role; experience in an Architectural/Engineering/Construction (A/E/C) firm is preferred, not required
  • Must be a US Citizen and be able to obtain government security clearance
  • Available to work in office 8:30am - 5:30pm Monday through Friday
  • Excellent communication and customer service skills include language proficiency and ability to answer multi-line phone system
  • Working knowledge of Microsoft products, including Teams, Office (Word, Excel, PowerPoint, Outlook)
  • Working knowledge of (PIM Software) Newforma, Procore, BUILD, Kahua, etc.
  • Must be dependable, punctual, organized, and be able to work independently and collaboratively in a team environment
