Job Summary:

The Project Administrator is a strategic partner to the CEO and executive team, responsible for managing high-level operations, streamlining strategic initiatives, and overseeing administrative support. This role ensures executive priorities are executed efficiently while also managing key projects, internal communications, and day-to-day executive responsibilities. The primary responsibility of this position is executive level administrative support and coordination of special projects as assigned by the President/Chief Executive Officer and Chief Financial Officer of Prominence Health Plan. Manage executive calendars, travel, expense reimbursement, coordinate meetings, and ensure optimal time management. Prepare reports, presentations, and correspondence for executive leadership. Organize leadership meetings, including agenda setting, documentation, and follow-ups. Facilitate board meetings, investor briefings, and other high-profile engagements. Maintain discretion and confidentiality in handling sensitive business information. Act as a liaison between executive leadership and various departments. Represent to customers, clients and other contacts. Provides general office management and supervises other administrative support staff to ensure efficient workflow within Administration. This position is fully on-site, with potential for some remote flexibility as permitted.

Qualifications

Qualifications and Requirements:

  • Bachelor's degree in business administration, management, or related field; MBA preferred.
  • Five years administrative assistant experience reporting to a CEO, vice president or executive level position is strongly preferred.
  • Five years of experience in executive support, project management, or strategic planning roles.
  • Proven experience working with C-suite executives in a fast-paced environment.
  • Proficiency in office productivity tools (Microsoft Office, Google Suite, project management software).
  • The ability to work independently and use good judgment to prioritize work and prepare and present special reports and projects.
  • Exceptional written and verbal communication skills.
  • Flexible, adaptable and highly motivated Self-starter who takes initiative and is resourceful.
  • Strong analytical, organizational, and problem-solving skills.
  • Must have the ability to work with remote contacts and collaborate with contacts in other time zones.
  • Must have flexibility for potential rotating work schedules and/or variable shifts.
