Overview

The Proposal Coordinator supports the administration of the project pursuit effort and delivery of succinct written content within formal business development documents including, Request for Qualifications (RFQs), and Request for Proposals (RFPs), and other similar project/client pursuits.

The Proposal Coordinator works within the Preconstruction group and collaborates with other internal groups, suppliers, subcontractors, and clients.

Responsibilities

    Provide a consistent set of support duties for the Proposal Specialist, Estimators, and Project Managers.
  • Assist with preparation of all bids, including but not limited to, filling in quantities, procuring documents, reviewing RFP and client documents to organize proposal submittal, managing proposal tasks ensuring deadlines are met, and submitting the bid.
  • Attend weekly estimating meetings and bid kick-off meetings in preparation of developing proposals submissions.
  • Support the preparation of pre-qualifications for the company.
  • Maintain company compliance and safety information in Avetta and ISNetworld.
  • Support the Proposal Specialist to
    • Communicate with insurance agents to obtain necessary insurance certificates for bids and client safety prequalification sites.
    • Communicate with company surety to obtain approval for bid and/or payment and performance bonds, and order bonds when necessary.
    • Provide monthly company bonding forecast to corporate.
    • Maintaining all bid information in Salesforce. Collaborates with corporate and sister companies in efforts to create/enhance Salesforce Database.
  • Maintain current and completed project resumes.
  • Assist Equipment Department with various duties including coding invoices in Vista, and scheduling preventative maintenance on equipment.
  • Assist VP of Business Development with special projects as needed.


Qualifications

  • Provide a consistent set of support duties for the Proposal Specialist, Estimators, and Project Managers.
  • Assist with preparation of all bids, including but not limited to, filling in quantities, procuring documents, reviewing RFP and client documents to organize proposal submittal, managing proposal tasks ensuring deadlines are met, and submitting the bid.
  • Exceptional written and verbal communication skills.
  • Ability to read and interpret documents such as blueprints, safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before clients, management, subcontractors and vendors of the organization.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Able to effectively organize numerous streams of information.
  • Ability to manage multiple priorities.
  • Ability to meet deadlines.

EDUCATIONAL AND EXPERIENCE REQUIREMENTS:

  • Bachelor's Degree or equivalent combination of education and experience.
  • 2-3 years related experience and/or training or equivalent combination of education and experience.

WORK ENVIRONMENT:

  • Works in an office environment at the corporate office or in the field.
  • May be exposed to extreme temperatures in the field - hot and cold.
  • May be exposed to chemicals, refuse and dirt from jobsites.
  • Moderate noise levels.

LICENSES AND CERTIFICATIONS:

  • Must have and maintain a valid state issued Driver's License with driving record that meets Saiia's risk management guidelines.

TRAVEL:

This position travels to various site locations. Estimated travel requirement 10% of time
