Here's what you'd do:

The Executive Assistant and Personal Assistant will provide high-level administrative support to the executive team while ensuring the smooth operation of the office. This dual-role requires exceptional organizational skills, attention to detail, and the ability to manage a wide range of responsibilities, including calendar management, meeting coordination, office operations, and team support and personal Support.

Key Responsibilities: Personal Assistant (PA)

  • Scheduling and Calendar Management: Managing appointments, meetings, and events, ensuring the individual's schedule runs smoothly.

  • Travel Arrangements: Booking flights, accommodations, transportation, and creating itineraries for personal and business travel.

  • Correspondence Management: Handling emails, phone calls, and other forms of communication on behalf of the individual.

  • Errands and Personal Tasks: Running personal errands, such as shopping, arranging medical appointments, or coordinating personal events.

  • Household Management: Overseeing the maintenance of the individual's home or property (may include managing staff, scheduling repairs, or organizing household needs).

  • Event Planning: Assisting with personal events, like family gatherings, parties, or vacations.

  • General Administrative Support: Preparing documents, managing personal finances, making personal calls, and maintaining records.

Key Responsibilities : Executive Assistant (EA)

  • Executive Scheduling: Managing the executive's calendar, coordinating meetings, conferences, and travel arrangements.

  • Communication Management: Handling emails, phone calls, and correspondence on behalf of the executive, prioritizing important matters.

  • Project Management: Assisting with various projects, ensuring deadlines are met, and tracking progress.

  • Office and Team Coordination: Serving as a liaison between executives and staff, often coordinating cross-department communication.

  • Meeting Preparation: Preparing materials for meetings, organizing agendas, taking minutes, and following up on action items.

  • Travel Planning: Organizing business trips and related logistics, including flights, accommodations, transportation, and itineraries.

  • Confidentiality Management: Dealing with sensitive information and high-level discussions while maintaining confidentiality.

  • Administrative Support: Filing, creating reports, handling presentations, and organizing documents.

Here's what you'll get:

Pay: $90K - $110K / year.

Hours: 40 hrs/Week.

Length: Direct Placement.

Job Requirements
Required Skills / Qualifications:

Education: Bachelor's degree in business administration, management, or a related field (preferred).

Experience: 5+ years of experience as an executive assistant, office administrator, or similar role.

Skills:

Excellent organizational and multitasking abilities.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.

High level of discretion and confidentiality.

Proactive problem-solving and ability to work independently.

Familiarity with office management systems and procedures.
