The Opportunity:

UCF's College of Community Innovation and Education School of Public Administration is currently accepting applications for an Academic Program Coordinator II. The role is primarily responsible for managing the daily academic advising, and administrative support service functions for the Public Affairs Doctoral Program and providing academic advising support for select graduate programs within the school.

This position is located in our UCF downtown campus.

Responsibilities:


  • Provides advising and counseling to students in academic programs of study on policies, registrations, and enrollment.

  • Advises students in the Master of Emergency and Crisis Management (MECM) program to ensure successful completion of the degree including advising on academic requirements and university policies and procedures.

  • Teaches the internship course, a core requirement for the MECM program to ensure students have relevant hands-on experience in the field. Maintains the home site and placement data.

  • Assists the Director in the review/revision of the PAF program curriculum by preparing Course Action Requests and Program Recommendations and entering approved catalog revisions in the Graduate Student Content Management System.

  • Coordinates and attends various committee meetings including the Public Affairs Program Committee, (schedules meetings, prepares agendas and materials, takes minutes) and follow up on items discussed/approved during meetings.

  • Works with CCIE Graduate Office and College of Graduate Studies to ensure timely processing of documents (student and administrative) and compliance with processes, policies, etc.

  • Interprets academic policies and procedures and recommends new or improved policies/processes to effectively manage academic support services in the PAF program.

  • Assists the Director in the review of annual enrollment management plans and prepares Graduate Enrollment Management (GEM) worksheets.

  • Monitors weekly admission enrollment reports provided by the College of Graduate Studies.

  • Collects information for brochures/websites and ensures updates are completed as appropriate.

  • Prepares Graduate Assistantship contracts PAF students on graduate assistantships.

  • Monitors student progress through the program to ensure timely completion including reviewing academic progress reports and individual student enrollment each semester. Identifies students in need of additional advising or status changes and consult with director.

  • Assists PAF students with qualifying exam process, candidacy process and dissertation process.

  • Ensures all paperwork is submitted by deadlines and students are registered appropriately and correctly within CCIE and Graduate Studies guidelines.

  • Monitors applications for PAF admission in Graduate Admissions System (GWIS) and facilitates the admissions process.

  • Assembles completed applications for committee review.

  • Coordinates admissions committee meetings and review of applications.

  • Enters admissions decisions in GWIS.

  • Follows up with correspondence to newly admitted students.

  • Coordinates, develops and maintains the course schedule each academic year.

  • Attends recruiting events and develops program information, marketing, recruiting and dissemination of program information to government, private and nonprofit organizations.

  • Facilitates communication between SPA, UCF Global, and foreign universities to enhance international recruitment, and promote study abroad programs.

  • Assists with student orientations for academic programs.

  • Performs related duties as required or deemed appropriate to accomplish the responsibilities and functions of his/her area.

  • Some travel required for meetings and events.


Minimum Qualifications:

Bachelor's or Master's 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • Previous experience managing a postgraduate program.

  • Experience in the support and recruitment of international students

  • Excellent organization and communication skills.
