Position Title: Office Manager Department: Tulsa Low Vision Clinic

Reports to: Director of Rehabilitation Services Supervisory Responsibility: Yes

FLSA Classification: Exempt

Position Summary: The Practice Manager is responsible for the administrative operations of the low vision clinic in Tulsa, which includes front office administration, clinic services, quality assurance and data management.

Essential duties and responsibilities (core functions representing 80% of time spent):




  • Serve as a liaison and initial point of contact for IT support, building maintenance and other office operations, ensuring all office protocols are followed as it relates to opening and closing procedures.



  • Assist the Director of Rehabilitation Services in establishing and implementing goals, clinical objectives, policies and procedures and systems.



  • Will provide direct supervision of front desk personnel.



  • Provide administrative support to clinical staff as directed by the Director of Rehabilitation Services.



  • Participate in the selection, training, development and performance of all front desk personnel. Monitor time cards and PTO requests for clinic personnel, and track licensure for clinical staff.





  • Responsible for ensuring secured storage of medical health information and records.



  • Responsible for gathering and timely reporting on monthly statistics including but not limited to, monthly Uber/ride share reconciliation, monthly report of clinic personnel time, Areawide Aging, reconciliation of Clover receipts, and other items.



  • Assists the Director of Rehabilitation Services in the review and assessment of all processes and procedures to ensure maximum efficiency, consistency and cost savings.



  • Responsible for assisting in the implementation and maintaining of clinic EMR data/records.



  • Assist and support in the development of programs that benefit and enhance the quality of life of the patients we serve, in coordination with the Director of Rehabilitation Services.



  • In conjunction with the Compliance and Privacy Officer and Director of Rehabilitation Services, ensure adherence to the required HIPAA documentation requirements as identified by county, state and federal regulatory agencies.



  • Serve as a liaison with other community providers and agencies as needed.




Qualifications

Qualifications (Minimum education, experience, training, licensure, certification):



  • High School diploma or GED.
  • 2 years healthcare experience. Knowledge in compliance and healthcare regulations.
  • Working knowledge of hospital or clinic organizational policies, procedures, systems and health administrative practices.
  • Valid Oklahoma State Driver's license.
  • Valid collision insurance with $100,000 per occurrence and $300,000 per accident of bodily injury liability and $100,000 property damage liability.
