We have an opportunity at our corporate offices in Chicago for a Program Manager on our Medical Education team. This is a hybrid position reporting into our Chicago, IL office, requiring 1 day a week in the office. As a Program Manager, you will be responsible for planning, managing, and executing initiatives to drive and support Medical Education Data Programs and the Precision Education Portfolio within the AMA. Works closely with Med Ed, Ed Hub, MMX, Health Solutions, and IT to help build and implement physician career development programs and data programs (i.e., GME Track and FREIDA). Identify opportunities to continuously improve customer experience, operational efficiency, internal and external collaboration, organizational partnerships, and mission outcomes. RESPONSIBILITIES: Program Development and Management
- Oversee implementation of evaluation, consultation, and resource development to support AMA in Medical Education Data Programs and Precision Education Portfolio, including meeting facilitation, project planning and logistics
- Develop and follow a defined process for project execution which includes development of project charters, assembling of project teams, task coordination, and issue management. Deliver project tasks on time, with high quality and ensure that deliverables/milestones are met. Identify challenges to a project's execution and potential solutions; coordinate activities with other teams' internal and external collaborators while working within budget
- Manage external consultants and vendors providing consultation to AMA staff, including recurring check-ins with vendors, monitoring contract deliverables and invoices, as well as evaluation of vendor workshops and vendor performance
- Support Director in monitoring of budget and contracts, developing systems or process efficiencies as needed
- Manage external requests, evaluation, and processing of AMA GME data licensing agreements and invoicing
- May oversee the work of one Customer Support Specialist consultant; provide guidance on inbound inquiries and customer issue monitoring; determine when to escalate customer issues to Director for review and resolution
Program Evaluation
- In partnership with the Medical Education Data Programs Director and AMA research and evaluation team, design and monitor program evaluation components of initiatives and products, including pre/post consultation evaluation surveys, short term and long-term evaluation, and progress of over time
- Develop plan and implement evaluation feedback into Medical Education Data Programs and Precision Education initiatives, as appropriate
- Actively obtain user feedback from internal and external stakeholder groups and identify opportunities to improve overall impact of the Medical Education Data Programs
Customer & Relationship Management
- Manage FREIDA customer support and administrative processes in collaboration with the AMA accounts payable team
- Develop and maintain effective relationships with external organizations and key collaborators and/or relevant stakeholders to optimize outcomes
- Define the project responsibilities, activities and deliverables for collaborative work with external entities, as appropriate
- Liaise with MMX, Health Solutions, IT, external associations, institutions and vendors, ensuring regular collaboration sessions, status updates, and open communication
May include other responsibilities as assigned REQUIREMENTS:
- Bachelor's degree required; Master's degree preferred, preferably in public health, healthcare management, public policy, social work, related fields or equivalent, applicable work experience
- 5+ years of experience in program management or a relevant field required
- Professional experience engaging with medical education communities and stakeholders
- Expertise in medical education resource development, implementation, and communications planning
- Desire to use a variety of data to make decisions, back up proposals and forecasting, and measure program results
- Demonstrated experience with operational planning, budget planning, implementation and evaluation of multiple, complex projects including, convening project teams, organizing multi-faceted project plans, tracking project timelines and tasks via Asana, and managing towards established timelines and project deliverables
- Proven success and experience identifying, developing and maintaining partnerships and strong client/customer relationships
- Strong written and verbal communication skills
- A strong aptitude for analytical/critical thinking and problem solving; experience using data (both quantitative and qualitative) to shape and launch program strategies or direction, and desire to use a variety of data to make decisions, back up proposals and forecasting, and measure program results
- Supervisory experience, including delegating work and fostering trust and collaboration within teams
- Demonstrated ability to work with individuals from different disciplines and backgrounds, contributing as a team member; self-motivated and a strong individual contributor
- Some travel may be required
The salary range for this position is $81,600 - $108,120. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
