Job Description
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, and reports using the appropriate software for word processing, graphics and spreadsheets. Screens telephone calls, voicemails and visitors. Schedules meetings and travel and coordinates related arrangements. Routes or answers routine inquiries. Inventories and orders office, field and lab supplies. Assists with initial steps of proposal and project creation. Maintains employee contact lists. May perform collections efforts. Schedules and coordinates all office maintenance. Gathers and summarizes data. Performs tasks as requested by Project Managers. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles and Responsibilities:
  • Under minimal supervision, provides moderate to complex administrative support for an office, a department and/or group of professionals.
  • Independently researches and obtains information for complex reports and special assignments including analyzing data and report preparation.
  • Analyzes complex problems, compiles and analyzes data and prepares reports.
  • Composes, prepares, edits and proofreads letters, reports and other correspondence.
  • Answers telephones, screens calls and forwards messages.
  • May handle travel arrangements and coordination of day-to-day activities.
  • Coordinates the collection and submittal of department or office time sheets.
  • May be responsible for preparing invoices and billing clients.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Be responsible for maintaining quality standards on all projects.
Requirements:
  • High school diploma or equivalent.
  • Minimum 3 years' relevant experience.
  • Valid driver's license with acceptable violation history.
