Job Title: Procurement - Inventory Management & Stock

Location: Milwaukee, WI

Goals/Objectives of Position:

Manages purchasing, warehouse shipping and receiving, and stock functions for F&S to provide fresh, safe, and nutritional foods and products for schools and special events by arranging vendors, purchases, and expeditious arrival of all materials, products and services. Generates most orders and maintains records of related purchase orders. Performs various administrative functions including reception and ensuring client needs are addressed and reported timely and accurately through completion. Creates, modifies and runs accurate reports using MS Excel and MS Word software.

Essential Duties:


  • Electronic Purchasing of Meats/Protein, Fruits/Vegetables, Breads/Grains, Milk/Dairy, Paper Goods, and Chemicals. Manage purchase orders of materials to fill the needs of those that are based upon forecasted requirements.
  • Tracking and recording of invoices, daily material costs, daily product usage, and other costs
  • Keep current with school closings/half days, special lunch requests, and menu/production changes
  • Articulate purchasing and PDS production concerns at least two times per week.
  • Works closely with USDA Commodity.
  • Submit required reports: Meal Cost Per Week/Day, Waste Cost Per Week, Fuel and Transportation Cost Per Week, Inventory Costs Per Month
  • Other assigned tasks.



Other Duties:


  • Seek vendors that offer a combination of quality products and services at an acceptable price level and negotiate with outside vendors on pricing
  • Inquires about and documents quotes so that vendor may be followed up on if needed.
  • Arranges for purchase of materials to fill the needs of orders that are based upon forecasted requirements.
  • Preparation of requisitions based on quality, price and correct quantity.
  • Articulate requirements with vendors clearly and concisely.
  • Manage purchase orders by reviewing, verifying and investigating any problems and calling appropriate parties.
  • Ensure credit or discount is received and applied accordingly
  • Manage deliveries/workflow by assigning, monitoring and evaluating employee hours that would assist
  • Ensure that all product is delivered fresh and of quality, and investigate and resolve short-ships or damages from vendors
  • Prepare reports and budgets by collecting, analyzing, calculating, compiling and accurately summarizing
  • Monitor stock/inventory to ensure it is used in a timely manner to minimize waste and ensure that F&S does not run out of goods.
  • Keep Administration informed of any potential meal changes and obtain approval of President prior to implementing the changes.
  • Stays up-to-date on overall market conditions and price trends affecting F&S.


Education/Experience Required:

Associate degree in a related field, or 4 years of related experience

Must have or acquire ServSafe certification

Proficiency in Microsoft Word and Excel.

Ability to add, subtract, multiply and divide in all units of measure using whole numbers and decimals.

Must be detail-oriented, flexible, and a team player.

Knowledge Required:


  • Valid Wisconsin Driver's License
  • Knowledge of purchasing practices and techniques, and of the accounting and budget process as it relates to purchasing transactions
  • Knowledge of cost/price analysis
  • Internal and external customer service principles
  • Phone and email etiquette principles
  • Excellent written and oral communication skills
  • Operation of eFax, scanning, and other office equipment systems
  • Modern office procedures



Skills Required:


  • Providing excellent customer service
  • Good reading, writing, and math skills
  • Ability to provide team leadership, problem analysis and problem solving capabilities; make independent decisions and assume responsibility for resolving problems
  • Skill in reviewing invoices, bills, etc. for accuracy and completion
  • Using computers and application software (primarily Word, Excel, and PowerPoint) and accurately entering data in the computer
  • Tracking and ordering supplies



Physical Requirements:

Must be able to lift a 30 pound load, with occasional lifting of up to 50 pounds and pushing and pulling up to 100 pounds. Mental effort requires reading and quick response (with minimum error rate).
