Job Description

Job Overview:

We are seeking a highly skilled and detail-oriented Supplier Management Specialist to join our dynamic Purchasing team. This role is pivotal in managing supplier relationships, identifying new potential sources of supply, optimizing supplier qualification and maintenance processes, and maintaining accurate supplier records within the ERP system. This role will require proficiency in handling multiple data systems and performing thorough data analysis and improving data quality. The ideal candidate will possess strong analytical skills, excellent communication abilities, and a solid understanding of procurement and supplier management best practices. Looking for a collaborative, resourceful, self-starter with excellent data analysis and interpersonal skills.

Key Responsibilities:



  • Supplier Relationship Management: Build and maintain strong, collaborative relationships with suppliers to ensure efficient communication and problem resolution. Identify potential new sources of supply.
  • Performance Monitoring: Track and analyze supplier performance in areas such as delivery, quality, cost, and lead time, developing strategies to address issues and enhance supplier performance.
  • Data Analysis & Reporting: Compile and analyze supplier performance data, sourcing data, economic data and trends and presenting insights and recommendations for improvements to senior management.
  • Contract Negotiation & Management: Assist in negotiating contracts and agreements with suppliers to secure favorable terms and conditions that align with business objectives.
  • Risk Management: Proactively identify and work with internal teams to mitigate risks related to supplier performance and supply chain disruptions, assisting with ensuring a continuous flow of materials or services.
  • Supplier Evaluation & Qualification: Conduct thorough evaluations of potential new suppliers, including qualification processes, financial stability checks, and assessments of supplier capabilities to meet company requirements.
  • Supplier Database Maintenance in ERP: Manage and maintain the supplier database in the ERP system, ensuring accurate and up-to-date records for all suppliers. This includes new vendor entries, regular updates, and data integrity checks.
  • Supplier Certification & Documentation Management: Maintain accurate records of all supplier surveys, certifications, licenses, and various compliance documentation. Ensure suppliers meet relevant legal, regulatory, and quality standards.
  • Process Optimization: Establish, optimize, and document new supplier processes and controls to improve efficiency and reduce risks within the supply chain.
  • Continuous Improvement: Implement and promote continuous improvement initiatives to enhance supplier performance, cost reduction, and innovation in products or services.
  • Cross-functional Collaboration: Work closely with internal teams such as procurement, logistics, operations, and quality control to ensure alignment of supplier activities with organizational goals.
  • Compliance & Quality Assurance: Ensure suppliers meet all compliance requirements, including quality standards, and assist with internal audits or assessments related to supplier performance.
  • Supply Chain Coordination: Coordinate with other supply chain functions to ensure seamless order fulfillment, inventory management, and supplier issue resolution.

Requirements

  • Education: Bachelor's degree in Supply Chain Management, Business Administration, or a related field. Certifications such as CPSM (Certified Professional in Supply Management) are a plus.
  • Experience: Minimum of 3-5 years of experience in supplier management, procurement, or supply chain roles. Experience with sourcing optics, electronics, and mechanical components.
  • Skills & Competencies:


    • Strong experience with ERP systems (SAP, Oracle, etc.) for supplier database management and data integrity.
    • Knowledge of supplier evaluation processes, supplier qualification, and the maintenance of supplier certifications.
    • Proficiency in managing supplier contracts, negotiations, and performance monitoring.
    • Strong analytical skills with the ability to gather, analyze and interpret data, trends, and develop strategies for improvement.
    • Excellent communication and interpersonal skills to manage relationships with suppliers and internal teams.
    • Ability to optimize supplier processes and implement effective controls.
    • Familiarity with industry-specific regulations and quality assurance standards.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), PowerBI, Jet Reports and NAV ERP.
