Office Operations Associate

ESSENTIAL JOB RESPONSIBILITIESinclude but are not limited to:



  • Interact professionally and timely with clients, IMA visitors, and internal service teams via email, phone, and in-person.
  • Rotation among front desk duties, mail technician responsibilities, and event coordination tasks.
  • Ability to perform functions of the role within an IMA office M-F, 8am-5pm.
  • Track and order office supplies and paper as needed for the entire office.
  • Work on various projects and restocking of items on an as needed basis.
  • Ownership of all incoming and outgoing office mail.

    • Open and sort mail by destination and type.
    • Readdress undeliverable mail bearing incomplete or incorrect addresses.
    • Prepare, weight, and apply postage on outgoing mail & packages.
    • Scan mail documents and distribute electronically in a timely manner.
    • Oversight of supply inventory and ordering.


  • Reception desk:

    • Greet & assist all visitors with a friendly and positive attitude.
    • Answer and direct incoming calls appropriately.
    • Create a warm and friendly atmosphere at the front desk.
    • Provide clerical and administrative support to associates including print jobs, spreadsheets, proposal assembly, and special projects as assigned.
    • Assist with conference room set up and services as needed.





REQUIRED EXPERIENCE AND SKILLS include but are not limited to:



  • Six months or more of similar or related experience preferred
  • Experience with MS Office products required
  • Excellent attention to detail with the ability to multitask and meet deadlines
  • Strong organizational and planning skills
  • Strong customer service and communication skills
  • Self-starter capable of performing work independently
  • Ability to be flexible and resourceful and operate with courtesy, tact, and diplomacy
  • High School Diploma required
  • Ability to lift 30 pounds

Salary Range
$45,000 $50,000 USD
