Description
The Sales Administration Manager leads Sales Administration with focus on invoicing all PSD prime product sales, factory equipment orders and corresponding coordination, merchandizing programs, projects cost tracking support, commission calculations as well as leading warehouse & yard operations including inventory and inbound freight logistics to store locations and customers.

Essential Functions:


  • Oversees all PSD customer invoicing, invoice setup, invoice updates and cost accruals updating as well monthly sales projections reporting.

  • Purchases CAT factory orders and coordinates order communications &

  • Prepares sales commission reports for leadership

  • Oversees inventory reporting and inventory counts, maintaining inventory accounts for DBS updates, reports, and physicals

  • Responsible for accurate and timely reporting for HOLT and CAT through various

  • Administers Accounts Payable invoice coding and processing, CODA, and receiving of equipment.

  • Continuous collaboration with the financial team to feed information related to all cost tracing related to projects.

  • Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards.

  • Hires, develops, evaluates, and influences effective and consistent productivity and teamwork to ensure the delivery of Legendary Customer Service (LCS)

  • Personally models, promotes, reinforces, and rewards the consistent use of HOLT's Values Based Leadership (VBL) tools, models and processes to ensure alignment with our Vision, Values, and Mission

  • Performs other duties as assigned



Knowledge, Skills, and Abilities:


  • Strong knowledge of management practices, Invoicing, and reporting

  • Knowledge of management information services and inventory management

  • Knowledge of purchasing techniques, financial, credit, and accounting principles

  • Exceptional independent judgement skills using common sense and other learned principles to define problems, collect data, establish facts, and draw valid conclusions

  • Proficient in the use Microsoft Office applications

  • Effective influencing skills which include motivating, leading, managing and developing customers and employees

  • Time management skills in order to develop plans for structuring self and others to attain maximum productivity by establishing deadlines, milestones, tasks, resources and achievement of goals and work results

  • Communication skills via phone, verbal, written, personal and being supportive by listening and asking open-ended questions for ensuring the development of others

  • Critical thinking and problem-solving skills to apply logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, approaches, and prevention to problems

  • Ability to modify natural behaviors and actions to fit the situation at hand most effectively

  • Ability to work with individuals and groups



Education and Experience:


  • Degree in Business Administration or related field

  • Minimum five years of applicable field experience required, eight or more years of experience preferred



Supervisory Responsibilities:


  • This position directs and manages the Sales Coordinators and Warehouse/Yard Associates. Responsibilities include, but are not limited to interviewing, hiring, training and development of employees; planning, assigning, and directing work; coaching; conducting performance reviews; rewarding and disciplining employees; addressing complaints/concerns and resolving problems, and ensuring consistent application of organizational needs.



Travel:


  • Up to 25% travel as needed is to be expected



Physical Requirements:


  • This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets,

  • Constant movement and use of limbs; this position requires good manual dexterity, coordination, stamina, talking, hearing, and repetitive motion

  • This role frequently communicates with others, must be able to exchange accurate information in these situations

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines

  • Occasionally able to lift up to 25



Work Environment:


  • This job is generally performed in a professional office, in environmentally controlled conditions.
