ABOUT THE JOB

The Administrative Assistant assists the director and team by initiating, coordinating and providing administrative functions on a day-to-day basis.

WHAT YOUR DAY WILL LOOK LIKE




  • Provides administrative support to ensure the team functions optimally.
  • Collects, opens, dates and distributes mail.
  • Performs communication functions including typing, copying, faxing, e-mailing and making phone calls for the entire team.
  • Arranges travel and lodging for the team.
  • Arranges conference, committee and other meetings as directed.
  • Compiles data and financial and statistical information related to product research, development, sales, marketing, production forecasting and scheduling.
  • Develops reports and special projects as assigned by leader.
  • Maintains records and files for confidentiality and non-disclosure for sales, marketing and distribution agreements and others as required.
  • Maintains files for each team member.
  • Fulfills requests for data, advertising and promotional materials and other information requested by the team or customers.
  • Assists the team in researching and compiling data, developing reports, completing special projects and coordinating planning activities.
  • Represents the team at various company, professional, civic and other meetings.
  • May be required to operate a company vehicle.
  • Provides excellent customer service to all internal and external customers.
  • Other work-related duties as assigned by leader.
  • Reliable and regular attendance is required.
  • Follows all company policies and procedures.



EDUCATION & EXPERIENCE




  • High school diploma or equivalent is required.
  • Three years of work-related experience is required.



SKILLS & QUALIFICATIONS




  • Working knowledge of Microsoft Office is required.
  • Written and verbal communication skills in English are required.
  • Communicating in Spanish is a valuable skill at Helena.
  • Interpersonal skills are required.
  • Organizational skills are required.
  • Ability to coordinate a high level of activity under a variety of conditions and restraints is required.
  • Valid U.S. driver's license is required to drive a company vehicle.



Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
