Job Summary:

The Payroll Specialist plays a pivotal role in the Payroll Department, overseeing key administrative and payroll functions. This includes the meticulous approval and preparation of time records for processing, active participation in daily data entry for payroll processing, and collaborative support for team members, supervisors, managers, and department personnel. The Payroll Specialist also contributes to various accounting functions, enhancing the overall efficiency of the Finance Department.

Essential Functions, Duties & Responsibilities:

  • Maintains accurate and organized payroll records, including time records, employee information, tax forms, additions/deductions, and other relevant documents in the payroll system.
  • Accurately compiles data for payroll processing for employees in compliance with applicable laws and Company policies.
  • Validates timekeeping records for accuracy and resolves discrepancies.
  • Verifies new hires, rehires, terminations, and other payroll-related changes into the system.
  • Generates and distributes regular payroll reports and ad-hoc analyses as required.
  • Supports with audits by providing necessary documentation and information.
  • Provides excellent customer service by promptly addressing employee inquiries and concerns related to payroll.
  • Collaborates with HR and other departments to resolve issues effectively.
  • Cross trains with team members on various tasks within the Finance Department.
  • Performs other duties as assigned.

Knowledge, Skills & Abilities:

* Superior written and verbal communication, and interpersonal skills.

* Detailed oriented with a high level of accuracy and precision.

* Excellent critical thinking, analytical, and problem-solving abilities.

* Strong organizational and time management skills with the ability to effectively manage multiple priorities.

  • Ability to handle sensitive and confidential information with discretion.

  • In-depth knowledge of payroll procedures, regulations, and compliance standards.

* Proven experience utilizing time record systems, such as UKG Kronos Dimensions or similar is preferred.

* Proficient in Microsoft Suites (Word, Excel, PowerPoint, Outlook, etc.) and payroll processing systems (ADP, SAP, Paychex, Workday, or similar).

Education & Experience:

  • High School Diploma or equivalent required.
  • Associates degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 2 years of experience in a role with the focus area on accounting or bookkeeping; with at least 6 months of experience in payroll is desired.

Work Conditions & Physical Requirements:

* Office work environment, with the possibility of being exposed to varying conditions in the Plant setting, such as cold areas, warm areas, chemicals, and other site conditions.

* Prolonged periods sitting at a desk and working on a computer.

* Keying/typing, hearing, field of vision, and talking/speaking.

* The noise level of the environment is usually moderate.

* Occasional lifting up to or about 25 pounds.

* May require standing less than or equal to 1/3 of the day.
