Job Summary

Uses professional accounting concepts as a seasoned, experienced professional with a full understanding of accounting practices and organizational policies and procedures to resolve complex assignments where analysis of data requires a review of a variety of factors and multiple sources. Exercises judgment within defined accounting procedures and practices to determine appropriate action. Normally receives general instructions, with detailed instructions provided on complex new assignments and initiatives. Has contact with internal and external resources on a regular basis. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

The Analyst is a key member of the finance team tasked with the duties of performing accounting functions, including payroll and general ledger preparation and reconciliation for all funds managed and overseen by the Dean's Office. The analyst must understand and interpret complex accounting practices and organization policies and procedures to analyze and prepare reports for administrators and managers. It is crucial that ledgers are verified on a timely basis to answer questions and coordinate resolutions of issues with departments and functions. Ledger verification is an important financial control that helps detect and prevent erroneous or inappropriate transactions from occurring. As a major key control, the analyst:

  • performing ledger verification takes on the responsibility of providing reasonable assurance that financial transactions are valid and properly classified correctly
  • is tasked with the responsibility and ownership of creating and processing all journal entries for the Dean's Office utilizing all types of PeopleSoft online journals, including payroll expense transfers, to ensure accuracy and compliance with all policies and procedures set forth for each type of journal

The Analyst also monitors and executes all procurement and expense payment activities for the Dean's Office. This includes reimbursement requests, travel and entertainment requests, invoice processing, and speedchart/type setups. The Analyst may participate in implementing any new systems related to accounts payable functions for the Dean's Office.

Other duties include:
  • Performing fiscal management of intramural award projects
  • Partnering with units to prepare and submit recharge proposals to Control Point or Recharge Review and providing monthly recharge financial support
  • Supporting fiscal year closing activities
  • Providing financial administrative support to the Accounting and Operations Manager

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $87,200 - $130,700 (Annual Rate).

Department Description

The UCSF School of Medicine is a $3B enterprise and the Financial Affairs office is the chief administration unit. The Financial Affairs office oversees, directs, coordinates, and manages all School of Medicine funds, and all clinical enterprise-related funds flow and transactions. The office serves as the school's control point for resource planning, finance, accounting and compliance, reporting, and decision support. It also establishes School-wide fiscal policies, processes, and financial reporting, and manages the Dean's Office budget, reporting, and accounting functions. The office is responsible for the fiscal oversight of 40+ academic departments, organized research units, and programs within the school, and the management of School-wide financial planning, analysis, and reporting process. The mission of the Financial Affairs office is to promote and provide financial expertise, efficient tools and services, responsible fiscal stewardship, and meaningful reporting and analytics, and to be a strategic partner to the leadership of UCSF's four missions: education, healthcare, public service, and research.

The School of Medicine Dean's Office Finance Unit has financial management and coordination of all School of Medicine funds, all clinical enterprise-related funds flow, and Medical Center/School Strategic support financial transactions, staff personnel, and related administrative functions. Included in this responsibility is financial oversight of administrative activities for 40+ academic departments/ORUs within the School, as well as multiple School-wide Centers and Programs related to this unit. In addition to School-wide management responsibilities, the Finance Unit manages the Dean's funds and functions as the administrative base for all units that make up the Dean's Office.

Required Qualifications


  • Bachelor's degree in a related area and/or equivalent experience/training.
  • 3+ years of directly relevant accounting and finance experience
  • Thorough knowledge of accounting functions and assignments
  • Ability to independently gather, organize, and perform accounting-related analysis to complete work assignments.
  • Proven ability to effectively present information verbally and in writing.
  • Thorough knowledge of financial transactions and systems, as well as related policy, accounting, and regulatory compliance requirements.
  • Thorough knowledge of common desktop/web applications.
  • Thorough knowledge of analytical procedures used in accounting projects of moderate to semi-complex scope.
  • Thorough knowledge of accounting functions and assignments.
  • Ability to adapt to changing priorities and ability to multi-task in a high-volume environment
  • Ability to function as a team member
