Brief Summary of Work for this Position |
Reporting to the Director of University Space Planning and Management, this position supports the space planning functions which coordinates accurate space allocation and utilization data across the entire
UNCW community. The
SPM department aims to foster collaboration, facilitate the exchange of knowledge, and promote open decision-making to ensure effective space management. By providing strong customer service, the office helps university administrators make informed decisions based on accurate and updated information.
Aligned with the university's Strategic and Master Plans, this role is responsible for reporting space data to the
UNC System Office (
UNCSO) via the Data Additions Validations, Edits (
DAVE) system. The position requires a high level of technical expertise to manage and analyze UNCW's physical space inventory in the AiM system, generating essential reports for decision-making. Given the high stakes of data integrity, errors can have significant implications for campus and state-level planning and funding.
Key Responsibilities:
- Coordinates/Leads the annual campus space verification process to ensure the accuracy of all space data before submission to internal and external stakeholders.
- Coordinates the assignment of space standards and FICM (Facilities Inventory and Classification Manual) codes to new and renovated facilities, ensuring compliance with university and system standards.
- Manages the process for space requests, working with departments and units to assess needs, approve requests, and allocate space effectively.
- Assists units with moves and relocations, ensuring that these transitions are smooth and that all space data are updated accordingly.
- Analyzes space usage by creating detailed reports and updating floor plans to reflect current utilization and identify opportunities for more efficient space allocation.
Collaboration is central to this position, involving extensive communication with stakeholders such as the AiM Administrator, AutoCAD Administrator,
UNCSO, facilities, deans, and directors. The role provides data consultation and analysis for space planning projects and ensures that the university's space needs are met efficiently. It also involves educating campus constituents on the importance of accurate space reporting and policy compliance, using resources such as electronic forms, newsletters, and surveys.
The position manages, trains, and develops student/graduate student and part time employees on the space planning team. It is responsible for developing best practices for data collection, conducting campus building audits, and ensuring data integrity through systematic procedures. These efforts support long-term planning and the strategic alignment of space management with institutional priorities.

Minimum Education and Experience Requirements |
A Bachelor's degree in related field. A combination of education and practical experience may be considered on a case-by-case basis. |
Preferred Education, Knowledge, Skills & Experience |
- Two years of relevant professional experience.
- Project management skills.

OIRP supports the entire institution through comprehensive research-based planning and evaluation processes which provide campus leadership with accurate information for data-informed decisions.
The Office of Space Planning & Management (
SPM), a sub-unit of
OIRP, supports the university in managing and optimizing space utilization and allocation.
SPM conducts space utilization studies, maintains a centralized space inventory, and provides data-driven insights to guide decisions on renovations, expansions, and new construction. It collaborates with campus leadership to align space planning with institutional goals and ensures sustainability and accessibility in space management practices. SPM's mission is to efficiently manage the university's physical resources to support strategic growth and academic priorities. |
