JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Center for Molecular Toxicology and Carcinogenesis (CMTC) at Penn State is seeking an Administrative Assistant to join our highly motivated and dedicated team.

Located on the University Park campus in State College, Pennsylvania, CMTC was established in 1997 with the aim of advancing toxicology and carcinogenesis research and educational programs by providing an infrastructure for the development of multi-investigator, interdisciplinary projects and enhancing collaborative research across Institutes and Colleges.

Responsibilities: The Administrative Assistant serves as the office manager for the CMTC.This position supports the CMTC Director and Metabolomics Core Facility with CMTC business functions, including, but not limited to the following:

  • Coordination of administrative and financial support to the Director, lab directors and faculty affiliated with the CMTC and the Metabolomics Core Facility.
  • Administer the CMTC annual budget and assist in budget planning, development and management of special programs and analyzing budget projections, ongoing federal, state, discretionary, non-discretionary and internal funding evaluation for over 30 grants / funds housed within the CMTC.
  • Monthly financial reporting for all Pl's on spending, balances, renewals, subcontractors, closings and corrections.
  • Initiate and complete all purchasing requests for 5 research labs and the Metabolomics Core Facility in SIMBA including free text purchase orders, contract orders, Shop Onlion, goods confirmations and PO change orders. SAP Concur p-card reconciliation daily.
  • Responsible for interviewing, selecting, training, evaluating and supervising 10 to 15 wage payroll and student employees annually within research labs. Coordinate work flow for wage students/employees.
  • Provide ongoing guidance and process/procedures to all employees of the CMTC regarding rules and regulations of Penn State and government agencies. Provide ongoing SIMBA training and guidance for CMTC employees focusing on individualized training for lab managers.
  • Plan, coordinate and execute all functions such as conferences, seminars, meetings, workshops, and banquets; including travel, lodging, meals, visitors, speakers etc. Book and coordinate travel arrangements in SAP Concur faculty, staff, postdocs, graduate/undergraduate students and wage payroll employees that attend various professional meetings throughout the year. Reconcile and provide reimbursement in SAP Concur for travel and individual expenses for all faculty, staff, postdocs, student and wage payroll employees.

Education and Experience: This position will be filled at the Senior Support level and requires at least an Associate's Degree and 4+ years of related experience, or an equivalent combination of education and experience.

The successful candidate must have a can-do attitude, excellent customer service skills, ability to handle and prioritize multiple complex tasks, act professionally in a fast-paced, complex work environment, be self-motivated, have excellent organizational skills, have strong attention to detail, and perform confidential administrative duties with the utmost of professionalism. Prociency in Microsoft Ofce 365 (Excel, Word, Power Point, Outlook) is required. Experience working on SAP Concur, Workday, Converge, and Shop OnLion, and purchasing are preferred.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
