Position Description

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.

About the Department and/or College

The School of Art is NASAD accredited and offers the BA in Art History, BA in Art, the BFA in Studio Art, Graphic Design, and Visual Studies (teacher certification), the MAE, the MFA in Studio Art, MA in Art History, and the Ph.D. in Fine Arts with a major in Art termed "Critical Studies and Artistic Practice." A faculty of 31 full-time professors serves approximately 250 undergraduate students and 60 students involved in graduate study. The School has many prominent alumni, including Caleb Bennett, John Hitchcock, Rob Wilson, Ken Little, Real Musgrave, and Lana Rigsby. Technical and administrative support includes a total of 13 staff positions. The School's Visual Resource Center maintains art reference books, current art periodicals, instructional media, digital classrooms, a legacy slide collection, and an expanding collection of digital images for teaching and research. Additional images are available through ARTstor and online at the university library. The program also supports the Landmark Arts Galleries and the Standing Room Only Photography Gallery (SRO). The J.T. & Margaret Talkington College of Visual & Performing Arts comprises the School of Art, the School of Music, and the School of Theatre & Dance, accredited by NASAD, NASM, NAST, and NASD, respectively. Major/Essential Functions


  1. Schedule individual and various school-wide meetings for the Director. Handle written and verbal communications ranging from phone calls, emails and written correspondence. Record minutes for meetings. Assist the Director with any assigned tasks.
  2. Maintain the School of Art calendars, manage multiple email boxes and ensure timely announcements are distributed to faculty, staff and students. Serve as Front Desk point of contact to visitors, faculty/staff/students. Reserve meeting rooms and coordinate the schedule for events. Receive packages/mail at the front office and submit key requests. Order office supplies and catering/food items. Assign parking for guests.
  3. Assist Business Manager with various office tasks as assigned. Tasks may include department credit cards check-out to reconciliation in Chrome River, arranging hotels and meals for prospective graduate students and reconciling purchases from orders to receipts in TechBuy. Process food forms, vendor set ups, I9s, background checks, and file digitally as well as hard copy.
  4. Work with the College Recruiter to plan and implement the SOA Pre-Immersion Summer Camp for high school students. Responsibilities include reserving dorms, classrooms, etc. Collect camp payments, communicate with camp attendees and answer questions.

Required Qualifications

A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.

Preferred Qualifications


  • Previous experience with Microsoft Office Products.
  • Strong written and communication skills.
  • Excellent organizational skills
  • Previous experience with TTU systems and procedures.

Occasional Duties


  • Assist Faculty with various requests (which might include copying/scanning documents, scheduling meetings, and other special projects).
  • Other projects assigned by the Director or Business Manager.
