You Are:

You are an experienced and dynamic Executive Assistant who thrives in a fast-paced environment and excels in managing multiple tasks simultaneously. Your stellar interpersonal skills and initiative enable you to connect seamlessly with partners, customer counterparts, and all levels of hierarchy within Synopsys. You demonstrate good judgment, maintain a high level of confidentiality, and set priorities effectively. You are detail-oriented with consistent and timely follow-through, ensuring that nothing falls through the cracks.

What You'll Be Doing:
  • Managing hectic and fast-moving schedules while acting as a trusted partner with high integrity and work ethic.
  • Building an understanding of what is critical to the business, allowing you to make appropriate decisions that impact the SVP.
  • Anticipating business needs and initiating actions accordingly to ease the leader's efforts.
  • Building strong relationships and acting as a liaison between the leaders and their teams.
  • Maintaining office equipment, coordinating facilities issues, office moves, and conference room scheduling.
  • Owning all organization project administrations: and "leading a team of admins."
  • Preparing SVP meetings by collecting relevant data and following up on previous action items.
  • Maintaining and purchasing office supplies.
  • Managing, maintaining, and documenting headcount for the team, including participating in onboarding and offboarding processes.
  • Coordinating scheduling and logistics for Leadership Team staff meetings, events, and off-sites.
  • Preparing staff agendas and following up on action items.
  • Consolidating weekly and/or monthly reports.
  • Scheduling and coordinating interviews.
  • Maintaining organizational charts and contact lists, and processing personnel status changes and employee requisitions.
  • Managing and maintaining new hire requisitions and tracking high-priority initiatives.
  • Preparing expense reports for the leader and supporting interim approval for all expense reports submitted by the team.
  • Arranging team events and managing the morale budget for the team.
  • Maintaining up-to-date space-management processes and team spaces, recommending changes in space assignments as needed.
  • Planning and coordinating domestic and international travel itineraries and coordinating customer meetings and internal reviews.
  • Working closely with the SVP Chief of Staff/Program Management Office.
  • Building trust and collaborative relationships with the Head EA and other EAs across the board.
  • Participating in Head Office projects, assisting with new concepts, ideas, and protocols for the organization.
  • Handling miscellaneous projects pertaining to group lead requirements, such as SharePoint sites and awards recognitions.
  • Being an expert user of Microsoft products including Word, Outlook, PowerPoint, Visio, Excel, OneNote, SharePoint, MS Teams, and Concur.

  • Supporting the onboarding and offboarding processes, ensuring a positive experience for new and departing employees.
  • Managing and coordinating logistics for key meetings and events, ensuring they are well-organized and productive.
What You'll Need:
  • Bachelor's Degree in a relevant field (e.g., Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology).
  • 8+ years of experience in administrative, business support, or customer service roles with a focus on executive support.
  • Expertise in scheduling meetings/events, travel management, and executive administrative support.
  • Proficiency with Microsoft Office products, including Word, Outlook, PowerPoint, Visio, Excel, OneNote, SharePoint, MS Teams, and Concur.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks effectively.

The team is dedicated to ensuring the smooth operation of administrative functions and facilitating effective communication and collaboration across the organization.
