The Pharmacy Manager is responsible for overseeing the operational functions including prescription fulfillment, inventory management, regulatory compliance, and workflow optimization. This role ensures that the pharmacy operates efficiently, meets all regulatory requirements, and provides high-quality service to patients. The Pharmacy Manager plays a vital role in managing the pharmacy team, ensuring accurate and timely prescription processing, and maintaining the integrity of the pharmacy's operations.

Key Responsibilities:

Operational Management:

  • Oversee pharmacy operations, including prescription processing, and pick/pack/ship.
  • Ensure that all prescriptions are accurately filled, verified, and dispensed in a timely manner.
  • Manage the pharmacy workflow to maximize efficiency and minimize errors.
  • Implement and maintain standard operating procedures (SOPs).

Inventory Management:

  • Monitor and manage inventory levels to ensure adequate stock of medications and supplies.
  • Oversee the ordering, receiving, and storage of medications, ensuring compliance with legal and regulatory standards.
  • Conduct regular inventory audits to prevent shortages, overstocking, or discrepancies.
  • Handle controlled substances with strict adherence to regulatory requirements, including documentation and reporting.

Regulatory Compliance and Quality Assurance:

  • Ensure that all pharmacy operations comply with federal, state, and local regulations.
  • Maintain records of all controlled substances and ensure proper reporting to regulatory authorities.
  • Conduct regular audits and quality checks to ensure adherence to SOPs, regulatory standards, and best practices.
  • Manage and resolve any compliance issues or discrepancies that arise in back-end operations.

Team Leadership:

  • Supervise, train, and mentor pharmacy technicians, specialists, and other staff.
  • Conduct performance evaluations, provide feedback, and identify opportunities for professional development.
  • Develop staffing schedules to ensure adequate coverage during all operational hours.
  • Collaboration and Communication:
  • Work closely with the pharmacy team to ensure seamless operations and exceptional patient service.
  • Coordinate with the purchasing department to manage supply chain and vendor relationships.
  • Technology and Process Improvement:
  • Oversee the use of pharmacy management software and ensure that all team members are trained on its use.
  • Identify and implement process improvements to enhance efficiency, reduce errors, and improve patient outcomes.
  • Stay informed about new technologies and advancements in pharmacy operations.
  • Reporting and Analysis:
  • Track and report on key performance metrics related to back-end operations, such as prescription accuracy, turnaround times, and inventory levels.
  • Analyze operational data to identify trends, issues, and opportunities for improvement.
  • Prepare and present reports to upper management on back-end performance and compliance.

Qualifications:

Education:

  • Bachelor's degree in Pharmacy (PharmD preferred) or a related field.
  • Active Pharmacist license in good standing.

Experience:

  • 5+ years of experience in a pharmacy setting, with at least 2-3 years in a supervisory or management role.
  • Experience in managing pharmacy operations, including inventory management and regulatory compliance.

Skills:

  • Strong leadership and team management skills.
  • Excellent organizational and time management abilities.
  • Proficiency in pharmacy management software and technology.
  • In-depth knowledge of pharmacy regulations, HIPAA, and compliance standards.
  • Strong problem-solving skills and attention to detail.
  • Attributes:
  • Detail-oriented with a focus on accuracy and quality control.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Strong communication skills and the ability to work collaboratively with other healthcare professionals.
