Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
Three to five years of financial office experience preferred.
Proficient user of Excel and Word preferred.
Position Summary
The Membership Operations Manager is responsible for overseeing daily operations, ensuring effective coordination across program areas, and optimizing office functions. This role requires a strong communicator with excellent organizational skills who can lead student staff, manage office resources, and implement efficient processes with minimal supervision. The Membership Operations Manager is pivotal in fostering a productive, positive work environment and will exercise discretion in managing cashiering, point-of-sale, and program registration services for the Department of Recreational Sports. This includes full accountabilities for all departmental sales and registration transactions, training and supervising all personnel handling these transactions, and serving as the main point of contact for Ramsey Student Center members regarding inquiries and issue resolution. The position requires independent interpretation of policy and procedures and allows some discretion on actions to be taken.

  • While performing the normal duties of the job, the employee is frequently expected to move throughout the 440,000 sq. ft Ramsey Center; to stand; walk; sit; use hands; reach with hands and arms.

Duties/Responsibilities
Accounting:

  • Reconcile daily sales for all payments both in person and online that are transmitted through the Fusion web portal and TouchNet U-pay site
  • Maintain auditable records for all sales transactions
  • Manage and process refunds for memberships and program registrations as needed
  • Process all intra-university charges by creating journals and preparing all payment requests to vendors and refunds to customers in PeopleSoft
  • Manage and process all petty cash requests, reconciles petty cash fund quarterly
  • Prepare and reconcile the faculty/staff payroll deduction for membership enrollment, changes and cancellations for all UGA pay types
  • Implement and provide accounting and purchasing support for 40+ student sports clubs
  • Keep student club budget and expense ledgers current and monitor accounts for problems
  • Assist the Competitive Sports team and club members with purchase requests, account information and expenditure policies/procedures
  • Process student travel requests and reimbursements
  • Coordinate and manage the use of Publix card, process the necessary payment requests for the account
  • Manages Pro Shop inventory including ordering and inventory of resale items and organization of Pro Shop displays
  • Assist with processing staff travel requests
  • Assist with processing sales tax reports

Administrative Oversight:

  • Manage departmental e-mail account by responding to or forwarding requests from patrons and other members of the UGA community
  • Manage online membership signups for Ramsey Center members, answer questions and resolve problems
  • Resolve Iris enrollment issues by working with EITS
  • Resolve student access issues
  • Compile agenda items and take minutes for monthly all-staff meetings. Coordinate distribution of agenda and minutes to departmental staff
  • Manage locker inventory and coordinate clean out on monthly and semesterly basis
  • Oversee payroll memberships, monitoring for additions, changes, and cancellations, and prepare monthly reports to send to the Payroll Department for updates
  • Perform age limit clean up processes for payroll members
  • Oversee bulk guest pass sales for UGA departments
  • Manage office supply inventory and ensure adequate stock for operational needs

  • Lead recruitment, hiring, training, and supervision of 4-8 student membership services specialists responsible for payment processing and online registration for all departmental services
  • Plan and implement customer service training for membership services specialists to maintain high-quality service standards
  • Collaborate as an integral member of the Recreational Sports staff in pursuing the departmental vision and mission
