Job Summary:
We're seeking a dynamic individual to join our Business Intelligence (BI) and Applicant Tracking System (ATS) Team. The ATS Administrator is responsible for managing and optimizing the company's enterprise ATS and other systems that support the recruitment process for Aleron companies. This role ensures that the ATS is managed and supported effectively to enhance recruitment efficiency, data integrity, and user experience for recruiters, candidates, and hiring managers.
Essential Duties and Responsibilities:
  • System Management: Administer and maintain the Applicant Tracking System (ATS) and other related recruitment technologies as needed. Ensure systems are configured to meet organizational needs and comply with data privacy regulations.
  • Vendor Coordination and Documentation: Regularly conduct meetings with the ATS vendor to discuss system performance, updates, and issues, and ensure thorough documentation of meeting notes and action items for future reference and follow-up.
  • Vendor Management: Liaise with software vendors to address issues, coordinate upgrades, and evaluate new tools that can enhance the recruitment process.
  • Change Management: Lead and drive change management initiatives related to the ATS, ensuring smooth transitions, adoptions of new features, and best practices across the organization.
  • User Support: Serve as the company's primary point of contact for system users, providing training, support, and troubleshooting for recruitment staff and hiring managers.
  • Data Management: Oversee data integrity and accuracy within the ATS, including monitoring data entry practices and generating regular reports on recruitment metrics.
  • Process Improvement: Collaborate with internal IT and business teams to identify process inefficiencies and implement system enhancements to streamline workflows.
  • Integration Management: Work with others in IT to maintain integration of recruitment systems with other company technologies and platforms to ensure seamless data flow and improve user experience.
  • Training and Documentation: Develop and maintain training materials and user guides for ATS and recruitment technologies. Conduct training sessions for new and existing users.
  • Compliance: Ensure compliance with all relevant labor laws and regulations related to recruitment practices and data management.
Job Requirements
Required Skills / Qualifications:
  • 2+ years as a Subject Matter Expert (SME) for an enterprise software system, demonstrating strong technical guidance, problem-solving skills, and the ability to maximize system efficiency.
  • Proven experience in effectively managing systems and processes.
  • Skilled in building and maintaining relationships with internal and external stakeholders.
  • Excellent verbal and written communication skills, with strong presentation abilities and a customer-focused approach, including experience in remote support.
  • A collaborative team player who can also work independently when needed, demonstrating resourcefulness and adaptability.
  • Proven track record of handling sensitive information with discretion while managing competing priorities.
  • Demonstrated ability to meet performance goals and deadlines in fast-paced environments, with a commitment to high-quality client service.
  • Skilled at conveying complex technical information in an accessible way to non-technical audiences.
  • Ability to effectively engage with diverse stakeholders, including senior executives, customers, operations teams, and end users.
Preferred Skills / Qualifications:
  • Prior staffing industry experience strongly preferred
  • Strong user knowledge of Microsoft 365 software (e.g., Outlook, OneDrive, Teams).
  • Ability to quickly learn, understand and analyze complex data and processes.
Physical Demands, Work Environment, and Travel:
  • This role operates in a modern, hybrid work environment, utilizing technology such as laptops, video conferencing tools, cloud-based applications, and collaborative platforms. Flexibility for remote work is supported, while in-office settings may still involve the use of standard office equipment like computers, telephones, and printers.
  • The physical demands described here are representative of those required for an employee to successfully perform the essential functions of this job. While carrying out job duties, the employee must regularly be able to speak clearly and hear effectively to communicate with others. The role also frequently requires standing, walking, using hands for fine motor tasks, and reaching with arms.
  • Occasional domestic travel may be required to represent the company, based on business needs.
