Description

The Senior Administrative Coordinator is accountable for the operational and fiscal performance, business implementation, and management of services and administration within the department at McLean Hospital. This role collaborates closely with the McLean Neurotherapeutics Program Director and serves as a valued member of the department's management team.


Responsible for overseeing the operational, fiscal performance, business implementation, and service management of new programs within the department at McLean Neurotherapeutics.



  • Oversee continuous business operations of the program to facilitate its expansion, ensuring competitiveness with other similar programs by leveraging the expertise of McLean Hospital staff and resources.





  • Develop and maintain Excel and Access databases for tracking and analyzing business-related data and functions.





  • Manage general office procedures and functions, including but not limited to accounts receivable, accounts payable, equipment maintenance, and handling incoming/outgoing interoffice and mail correspondence. Utilize the EBUY system for purchase order management.





  • Serve as delegate for PeopleSoft and/or UKG Dimensions, serving as a liaison to McLean Human Resources and administrative departments.





  • Assist with greeting and scheduling vendors, patients, families, and guests of the program.





  • Oversee contracted services such as food services, dietary consulting, housekeeping, maintenance, linen service, lab services, hazardous waste contract, etc.





  • Ensure that QA protocols and checklists are followed and reviewed in a timely manner to maintain quality standards





  • Develop and monitor program operational budgets and applications, contracts, and budgets as required by local, state, and federal agencies. Monitor the productivity and caseload levels in collaboration with the Medical Director & Nurse Director.





  • Assist with developing appropriate policies and procedures for the McLean Neurotherapeutics program or department in compliance with local, state, and federal agency regulations. Prepare licensure materials as needed and ensure the program's compliance with required licensure criteria.





  • Update, revise, and create new program materials and policies as the program expands to cater to specific target populations.





  • Represent the program at relevant meetings and events as required.





  • Provide administrative support to program or department staff, including scheduling off-site activities.





  • Maintain a high degree of office efficiency and make decisions regarding routine administrative and clerical details.

Qualifications
Qualifications - External

Bachelor's degree preferred but not required.

- 3-5 years of experience in a business operational, facility management, or healthcare

administrative setting, provider practice setting is preferred.

- Ability to work efficiently to meet deadlines and communicate effectively at all levels of an

organization or program.

Requires a professional demeanor, behavior, attitude, and daily presentation (attire) Proficiency.

in MS Office, including Word, Excel, Outlook, and PowerPoint skills, is required.

- Able to update, revise, and create new program materials and policies as the program expands to

meet the needs of specific and targeted patient populations.
