Primary Function: Assists in the supervision, development, planning and coordination of the College's Records and Registration Office. This role ensures that services align with the office's objectives and actively contributes to the success of both Academic and Student Affairs and college-wide goals.

Responsibilities:(1) Graduation: (a) Oversee the review of graduation applicants and the conferral of credentials. (b) Manage communication with students through the graduation application process. (c) Oversee the graduation substitution and waiver process. (d) Serves as a member of the College's Commencement Committee. (e) Coordinates with third-party vendors to ensure the timely delivery of diplomas. (2) Degree Audits and Curriculum: (a) Work closely with the Registrar to maintain and update degree audits in the Student Information System (SIS), ensuring alignment with curriculum and policy changes.(b) Identify areas for improvement in degree audit functionality and implement solutions.(c) Management of the Colleges' curriculum and curriculum updates in various systems, including but not limited to the SIS, catalog, and curriculum management system. (3) Reporting: (a) Generate reports, as requested by Academic and Student Affairs, to support student academic success and retention efforts.(b) Ensure compliance with reporting requirements, including National Student Clearinghouse enrollment reporting. (4) SIS Configuration and Testing: (a) Assist with SIS configurations to enhance the system's efficiency and effectiveness.(b) Participate in bi-annual testing and evaluation of SIS product releases and updates. (5) Operational and Administrative Support: (a) Contribute to the Records & Registration leadership team and assist with the resolution of issues within the office.(b) Assume administrative responsibilities for the Records & Registration Office in the absence of the Registrar or Associate Registrar (may include some evenings and weekends).(c) Assist in supervising support staff and ensuring operational efficiency. (6) Other Duties: (a) Perform additional tasks as assigned to support the overall goals of the Records and Registration Office.

Organizational Relationships:(1) Responsible to the Registrar for performance of assigned responsibilities; (2) Relates to College and department goals.

Performance Standards: Performance in this position is considered satisfactory when: (1) mutually agreed upon objectives have been attained within a specific time frame; (2) responsibilities of the position have been carried out at a level consistent with performance objectives; (3) effective cooperative relationships exist with the other members of the administrative team; (4) leadership competencies are exhibited in a manner consistent with institutional norms such that positive team/employee relations are fostered and employee developmental needs are proactively addressed.

Qualifications: (1) Education: attainment of a bachelor's degree from a Council of Higher Education Accreditation (CHEA) approved Institutional Accreditor required, master's degree in student personnel, counseling, higher education administration or related field preferred. (2) Skills, Knowledge, Abilities: (a) Excellent organizational, communication, and leadership skills; Strong ability to organize and work effectively with small and large groups; Strong ability to function effectively as a member of the Academic and Student Affairs team; (b) Excellent interpersonal skills: ability to relate to students, academic personnel, and staff and a developed ability to work with and relate to community constituencies; (c) Demonstrated ability to adapt to change: institutional expectations/priorities, colleagues, student, and community characteristics; (d) Desire and ability to make decisions based on an orientation that focuses on service to the clientele of the College; (e) Demonstrated commitment and experience working with diverse populations. (f) Familiarity with College and higher education policies and procedures. (g) Excellent computer and technology skills required including, but not limited to, expertise with SIS software, reporting software, CRM tools and Microsoft office software. (h) Ability to take initiative, work independently, and meet deadlines. (i) Excellent analytical ability required-interpret, utilize data for decision making, utilize reporting tools to manage and access data. (j) Excellent leadership and organizational skills. (3) Experience: (a) Minimum of two (2) years' experience working in higher education, preferably in a student records office; (b) Demonstrated competency to serve in an administrative capacity; (c) End-user experience with the use, configuration and testing of an SIS, preferably Workday; (d) Knowledge of and experience implementing applicable laws/regulations e.g. FERPA is preferred.
