This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary
This position researches and administers pre-award and post-awards for grants for the University of Illinois College of Medicine Peoria - Positive Health Solutions. The GCA's detailed analysis supports long-range planning and budgeting as well as audit requests. This position work under administrative direction from the Senior Business Manager with indirect reporting to the Director of Administrative Operations.

Duties & Responsibilities

  • Pre-award administration: Collaborates with staff to prioritize and draft grant proposals. Interprets requirements and ensures that proposals meet all of the guidelines outlined by the sponsor and are completed in a timely manner. Primary liaison for research, gathering data, coordinating with others obtaining, scopes of work, resolving issues and other necessary documentation required for the submission of an award to a sponsor. In conjunction with fiscal support staff, creates budgets and budget narratives for grant proposals that align sponsor guidelines. Reviews proposal submissions with the Office of the Vice Chancellor for Research (OVCR) and makes modifications to proposal components to ensure contractual and compliance requirements are met. Ensures accuracy and compliance during the editing and approval of proposals prior to submission.
  • Post-award assistance: Ensures all contracts/agreements sent by sponsor are submitted for processing to the OVCR. Assist with managing the budgets post-award, providing Investigators monthly financial status reports for a given sponsored project. Forecasts spending rates and cash flow. Assist with purchasing of supplies or other equipment that are part of the sponsored project's budget. Ensures that financial support is being used/transferred according to the budget, guidelines and regulations. Works with relevant Department admins to ensure they have an overview of this budget activity. Coordinates with the OVCR to provide sponsors with budget summaries at regular sponsor-requested intervals. Act as liaison for the department with the project sponsor and provide service updates on performance during scheduled calls. Helps investigators prepare and submit specialized progress reports for funders during the performance of the award. Helps investigators prepare and submit allocation reports within 60 days of award issue date. Works with the OVCR and other universities/organizations to ensure subcontracts are put in place as applicable. Works with the OVCR to ensure that compliance requirements are being met for a given project. Works with the OVCR to ensure final award closeout occurs timely and submission of final expense reports within 90 days of project end date.
  • Maintains database of numbers of applications by department, and number of funded applications Performs high-level searches for programmatic funding opportunities and recommends them to investigators for whom these may be relevant. Maintains effective communication with departments, investigators, and funding agencies. Stays up to date on changes in federal funding guidelines. Assists in the development and review of departmental policies, procedures and processes. Assists with audit responses as requested.
  • Perform other related duties and participate in special projects as assigned.


  • Qualifications:

    Minimum Qualifications

    1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
    2. Additional knowledge, education, training and/or sponsored project experience in the area of specialization inherent to the position may be required:
    Knowledge of budgeting, reporting, and lifecycle of the funding process is highly preferred.
