JOB TITLE:

Project Coordinator, Sr.

This position is grant funded and considered at-will employment.

JOB PURPOSE:

Provide administrative coordination for Wyoming Innovation Partnership (WIP)and related REDD Strategic Partnerships projects. Support WIP-related special projects utilizing management systems processing, information gathering and analysis, and reporting under direction of Senior Director of Strategic Partnerships, with guidance from the Program Manager; assist with training, coordinating, and managing projects associated with economic, workforce, and related grant development/expansion programming for the University; provide office coordination and administrative support for the operational, financial, personnel and planning functions for Senior Director of Industry Partnership WIP-related activity. Manage office calendars, event coordination, communications, and ensure efficient execution of WIP-related activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Coordinate and manage the administrative, financial, and personnel support for UW Wyoming Innovation Partnership (WIP) and Senior Director of Strategic Partnerships.
  • Assist with planning, implementing, and managing WIP programming, to include active monitoring of investments and deliverable timelines at both UW- and state-wide levels.
  • Assist with planning, implementing, and managing various WIP-related projects as assigned.
  • Manage WIP and Strategic Partnerships projects utilizing project management evaluation tools, including but not limited to Smartsheet, Microsoft Office Suite, and Qualtrics. Compile and organize data to be included in various internal and external reporting as requested in addition to specialized tracking databases to manage various WIP-related projects.
  • Effectively engage with a variety of internal and external audiences, assisting with organizing, promoting, and managing WIP-related events.
  • Partner with state-wide economic development organization counterparts to share data, insights into UW resources, and identify opportunities for increased engagement and collaboration
  • Participate in REDD strategy/marketing/communications planning. Maintain and provide updates for internal and external WIP programming and communications.
  • Manage scheduling and (phone and email) communications for the Senior Director of Strategic Partnerships and Program Manager, where determined.
  • Assist in scheduling and coordinating WIP meetings (in-person, video conference, blended).
  • Develop, implement, and conduct workshops and presentations to promote WIP and REDD projects.
  • Represent statewide and/or UW WIP at functions, or other meetings and events, which may include reporting on projects, collaborations with other project professionals, and evaluating projects.
  • Assist in developing project goals and objectives and revising as necessary; assist in developing and implementing plans for delivery and assessment of meeting project objectives and goals.
  • Assist in developing project operational and budgetary recommendations.
  • Supervise and/or direct specified project support staff, including hiring, training, and evaluation.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

The successful candidate must be eligible to work in the United States, as sponsorship for work authorization or work visas is not available for this position.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree in a related field

Experience: 3 years work-related experience

Required licensure, certification, registration or other requirements:
  • Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy.

DESIRED QUALIFICATIONS:
  • Bachelor's degree in informational management, business management, or library sciences.
  • Three years of proven program or project management and coordination, to include multi-project and multi-systems responsibilities.
  • Two or more years of System Administrator-level PM experience, including project setup, project management, consulting, and staff training in Smartsheet.
  • Two or more years of budget coordination, including multiple accounts.
  • Experience in organizational and project management and workflow.
  • Full understanding and use of administrative support technologies and supports, including, but not limited to Outlook Calendar, Doodle, and Calendly.
  • Understanding of University of Wyoming operations systems and processes.
