Overview

The Admin II is key in the efficient and effective operation of Family and Volunteer Services (FVS) Department. This position is the first point of contact for volunteers, community members, and staff from other areas of NCH. Workload includes both collaborative and shared tasks as well as independently driven tasks. Work environment requires the ability to work with interruptions from volunteers, staff, and phones, as well as often being solo in the workspace. Provides unsurpassed customer service to both internal and external customers.

Schedule: FT TEMPORARY, looking for 14 weeks (mid January to end of April); M-F 9:00am -5:30pm

Location: Main Campus (700 Childrens Dr.)

Responsibilities

* Manages, organizes and expedites communications (phone calls, voicemails, emails) from within NCH and the community regarding general volunteer program information, donation inquiries, patient care referrals, and inquiries about FVS and NCH services.
* Supports electronic volunteer management processes including but not limited to processing applications, references, training documents, status changes, archiving and retrieving volunteer records from archive; shows timely attention to process details; communicates well with team members who depend on this role.
* Serves as a supportive resource to NCH volunteers through face to face interactions. Assists with problem solving, and customer service to create a positive volunteer experience.
* Assists in the preparation of materials for volunteer information sessions, orientations and special events.
* Supports volunteer engagement by planning volunteer bulletin boards and assists with recognition projects such as mailings, raffles, gift distributions and attending events.
* Organizes and expedites communications and the flow of work through the department office such as correspondence, volunteer and student application processes, and similar. Assists in maintaining department records, meeting minutes, and files.
* Contributes to the management of documentation of in-kind donations.
* Prepares general correspondence including mailings using Excel mail merge functions. Also, can prepare reports and materials for presentations, training and distribution.
* Manages staff orders for supplies and uniforms by receiving and providing communication to FVS staff; maintaining department supply levels; and organizing office and storage areas.
* Seeks information about diversity and is sensitive to the diversity of volunteers, patients, families and co-workers. Strives to identify unconscious bias in themselves and others and advocates for diversity, inclusion and health equity in all aspects of their work.



Qualifications

Education:

    High School Diploma or Equivalent

Skills:

  • Must complete Ambassador Program within first 12 months of employment.
  • Excellent verbal and written communication skills are required as well as the ability to be a resource for information and problem solving.
  • Demonstrated ability in using technology and databases.
  • Proficient in Microsoft Office Suite, and knowledge of Volgistics a plus.
  • Strong organizational and time management skills, ability to work in an open environment with little direct supervision.

Experience:

  • 2 years administrative experience preferred.
